Job Description:
About the role
We are seeking an Office Assistant to join our team at the Amsterdam Headquarters.
In this role, you will provide administrative and logistical support to several directors - including the Group CEO and members of the Management Committee - as well as assist the broader office team of approximately 15 colleagues.
KEY RESPONSABILITIES
- Provide general support to the senior executives of our management team.
- Coordinate travel arrangements, including booking transportation, making restaurant reservations, and processing travel expense reports.
- Provide general office support, such as circulating documents for signature and preparing printed materials for meetings.
- Manage office-related invoices and ensure timely reporting to the accounting department.
- Assist in organizing board and committee meetings, including logistics and documentation.
- Handle cafeteria and catering requests to support internal events and daily operations.
- Serve as receptionist and provide backup support to the Office Manager on the daily routine and during absences (e.g., vacation or leave).
- Answer incoming phone calls and manage visitor access to the office.
- Oversee the meeting room reservation system and ensure availability and readiness.
- Maintain cleanliness and organization of meeting rooms and cafeteria at the end of the day or as needed.
QUALIFICATIONS
- Fluent in English. Professional proficiency in Dutch; Spanish is a plus.
- Solid user-level experience with the Microsoft Office suite; familiarity with other digital tools is an advantage.
- Strong sense of responsibility, work ethic, and attention to detail.
- Demonstrated flexibility, customer-oriented mindset, and ability to adapt to changing priorities.
- Excellent organizational and time management skills.
- Clear and effective communication skills, both verbal and written.
- Availability to work a minimum of 32 hours per week, weekdays, with full on-site presence at the Amsterdam Zuid office.
