JOB SUMMARY:
Under the direction of the immediate supervisor, the incumbent may perform some of all of the listed tasks with minimal complexity and precise instruction.

TYPICAL FUNCTIONS:
(i.) Positive attitude while greeting and answering general inquiries. This includes directing calls, provide policies and procedures as well as providing locational directions.
(ii.) Collects and enters data into established databases.
(iii.) Receives, sends and sorts mail, parcels and various forms.
(iv.) Schedules appointments and meetings when required. Books rooms through established system.
(v.) Performs basic word processing functions such as, document formatting, labelling, spellcheck, mail merge, drafting letters from template.
(vi.) Verifies student ID, status and forms that may be submitted.
(vii.) Document preparation of forms, exams, marketing materials and emails. Such preparation may include sorting, collating, filing, scanning, photocopying and shredding.
(viii.) Distribution and tracking of items, such as instruments (musical, scientific) documents, books, equipment. A log to track these items may be required.
(ix.) Provide general assistance at events such as auditions, training sessions, open house.
(x.) Using establish scripts, contact external and internal individuals regarding donations or program promotion.
(xi.) Maintain immediate work area in a clean and orderly fashion.
(xii.) The list of functions outlined above is representative and not a complete and detailed list of tasks which may be performed by an incumbent.

MINIMUM EDUCATION, CERTIFICATION AND EXPERIENCE:
-- High School diploma.
-- Minimal or no experience.



Other Qualifying Skills and/or Abilities

  • Currently enrolled at McGill University in an undergraduate or graduate program
  • Eligible/Approval for the Work Study Program
  • Previous administrative or clerical experience is an asset
  • Interest in Indigenous education and community-based programs
  • Respectful and professional interpersonal skills
  • Ability to handle confidential information with discretion
  • Reliability and willingness to learn new tasks

Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # (qualifier) on a scale of 0-4.
