We are seeking a detail-oriented and proactive Office & Accounting Administrator to join our team full-time in our Bellevue, WA office. This role is essential to supporting our accounting operations and ensuring smooth day-to-day office functions. The ideal candidate will be organized, tech-savvy, and comfortable working in a fast-paced environment with minimal supervision.

Essential Duties & Responsibilities: 

  • Assist with billing processes, including progressive billing and updating Schedule of Values (SOV)

  • Prepare and manage lien waivers and other billing documentation

  • Receive and record payments accurately

  • Set up new projects in accounting and project management systems

  • Set up new vendors, including requesting and tracking W9s and Certificates of Insurance

  • Support the Office Manager with daily tasks and special projects

  • Track and manage incoming mail (physical and virtual via EarthClass Mail)

  • Print, fold, and prepare permit sets and other documentation

  • Maintain organized filing systems (digital and physical)

  • Manage office supplies and coordinate orders

  • Provide general administrative support across department

  • Perform other duties assigned by management


Education/Qualifications:

  • High school diploma required.

  • 2+ years of experience in an administrative or accounting support role (construction or project-based industry) preferred.

  • Familiarity with accounting software and project management platforms.

  • Ability to proofread.

  • Proficient in Microsoft Office Suite or similar software.

  • Basic understanding of office equipment.

  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.

  • Ability to work independently and identify and solve problems.

  • Ability to organize and prioritize work.

Other Duties:

  • Adheres to the Code of Conduct, Confidentiality Agreement, and Company Safety Policy.

  • Performs other duties as assigned.


Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer. 

Pay Rate:

  • $25.00 - $35.00 per hour DOE.
