Monitor and support all aspects of medical governance involving external expert engagement: liaising with 3rd party vendors, financial processes, approval processes while identifying and addressing gaps. Additional criteria include and are not limited to discretion, professionalism, accountability, and ability to collaborate with multiple stakeholders.

Main Responsibilities:

  • Supports medical General Medicines Financial Process, including tracking of departmental expenses and monthly accruals. 30%

  • Supports team in creation of financial requests, Purchase Requisitions, purchase Orders, and tracks expenses throughout the course of a project until invoice processing and year end reconciliation is complete. 30%

  • Supports team in the creation and coordination of confidentiality agreements, service agreements and contracts with external suppliers. 10%

  • Ensures appropriate referencing, documentation, translation, tracking approvals and OneCRM process, and appropriate archiving in accordance with Sanofi SOPs, IMC regulations and PAAB approval process management. 10%

  • Managing all accredited education events (budget tracker, PO opening, etc.), including the Federation des medecins omnipraticiens du Quebec (FMOQ) requests. 10%

  • Completion of required documents to generate payment for Sponsorships, Grants and Honorarium. 10%

  • Works within the policies, procedures and regulations as required by the Company and under the Occupational Health and Safety Act.

CONTEXT OF THE JOB/MAJOR CHALLENGES

  • Ensure that payment is made to suppliers and maintain a good relationship with them to ease payment processes. Monitor old requests and manage new incoming ones by order of priority by date and urgency.

DIMENSIONS/SCOPE

  • Responsibilities of the job are for General Medicine Canada Medical only. Coordinate with the medical leads and MSLs on their projects; open line of communication at all times.

Education/Certifications

  • CEGEP diploma

Experience

Basic Qualifications

  • 2+ years of experience in an Administrative Assistant, Office Coordinator, or comparable administrative position

Preferred Qualifications

  • 2 to 3 years in project management

  • Experience within pharmaceutical industry, an asset

  • Interest in financial processes, thorough and analytical

  • Knowledge of PAAB, IM /ASC guidelines an asset. l Knowledge of pre-press and print production procedures an asset.

  • Written and spoken French

LANGUAGE: Written and spoken English

TRAVEL: Limited travel required – Company meetings

COMPUTER KNOWLEDGE:

  • Intermediate to expert level competence in MS Office, including Excel

  • High level of expertise in all areas of modern office practices (instant messaging, web conferencing, telephone systems, file sharing, etc.)

The salary range for this position is:

$54,646.00 - $78,934.00

All compensation will be determined commensurate with demonstrated experience. Employees may be eligible to participate in Company employee benefit programs. Additional benefits information can be found through the LINK.
