Job Summary: 

Reporting to the Administrative Team Lead or Administrative Manager, the Mail Coordinator is responsible for managing the daily flow of incoming and outgoing physical mail/emails/faxes and packages to ensure timely, accurate, and secure delivery through the organization.  This role supports internal departments by opening, sorting, and distributing all types of mail and external communications. 

Responsibilities:  

Primary Responsibilities

  • Sort and process incoming and outgoing mail/packages daily 

  • Physical Mail Opening and Distribution according to established procedures 

  • Process daily incoming mail/deliveries/faxes 

  • Research, determine correct recipient, and deliver mail promptly to appropriate departments and individuals 

  • Monitor general email inboxes and distribute per procedure 

  • Process and send outgoing mail/packages 

  • Maintain adequate postage as well as supplies 

  • Ensure compliance with company procedures and postal regulations 

Additional Duties as Assigned

  • Remote deposit of checks received at location 

  • Maintain supplies, including assisting employees with supply needs, and re-order supplies to replenish inventory, etc.  

  • Provide platform locations with administrative support including, but not limited to, calendar coordination and scheduling, maintaining inventories and databases, recordkeeping, and preparing reports, letters, or other types of communication. 

  • Provide assistance for office events, meetings, conferences, interviews, orientations, training sessions, and other activities, including scheduling, setup, cleanup and/or ordering supplies/food, coordinate maintenance items. 

  • Assist as needed with front desk management including answering phones, helping visitors by greeting, offering refreshments, and directing them appropriately, including notifying employees when visitors arrive 

  • Act as point of contact for facilities related questions or needs. 

Requirements: 

  • Strong organizational and time management skills, along with a demonstrated attention to detail 

  • Communicate and interact positively, effectively, and professionally with all, both verbally and in writing 

  • Ability to work in fast paced environment and meet deadlines 

  • Ability to work well independently and work collaboratively within a team 

  • Flexibility to adapt to changing priorities 

  • Proficient working knowledge of Microsoft Office, including Outlook, Excel, Word and PowerPoint with experience collaborating efficiently in M365 (OneDrive, MS Teams, SharePoint).  Experience with Applied Epic is a plus.  

Education/Experience: 

  • High School Degree/Diploma or higher is desired 

  • Office experience preferred
