We’re hiring a Legal Collections Administrative Assistant for our Corporate HQ in Columbia, MO and we’re looking for someone who’s ready to grow with us, bring energy and drive to their work, and help us build the future of construction. We are seeking a highly motivated and detail-oriented administrative assistant to support our legal collections team. This role is crucial in ensuring the effective management of clerical and administrative functions associated with recovering overdue accounts. The ideal candidate will thrive in a fast-paced environment, demonstrate a high level of professionalism, and bring a strong sense of initiative and organization to their work.

Primary Responsibilities

  • Prepare legal documentation such as garnishments and bankruptcy claims.
  • Conduct online research on companies with overdue accounts.
  • Search internal and third-party databases for account and collections-related information.
  • Open, review, and distribute mail for the legal collections team.
  • Draft and dispatch collection letters and official forms.
  • Communicate with government agencies via telephone and email to obtain or provide information related to collections.

Skills & Qualifications 

  • Strong proficiency with administrative and office software, including Microsoft Office, Google Suite, and similar platforms.
  • Excellent written and verbal communication skills for effective collaboration with internal teams and external stakeholders.
  • Outstanding organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • High attention to detail, with the ability to review and prepare accurate documents and correspondence.
  • Demonstrated discretion and professionalism when handling confidential or sensitive legal information.
  • Solid deductive and inductive reasoning skills used to support decision-making and document preparation.
  • Familiarity with standard office equipment, including printers, scanners, copiers, and postage machines.
  • Proven time management skills and ability to work independently or collaboratively as part of a team.
  • Strong interpersonal and customer service orientation when interacting with colleagues, agencies, and clients.
  • Ability to quickly adapt to changing priorities, new legal procedures, or evolving workflows.
  • Basic project coordination experience, such as tracking deadlines and maintaining task lists.
  • Comfort with data entry and producing simple reports from spreadsheets or internal databases.
  • Experience with document organization and maintaining well-structured records for legal or administrative use.

 Education and Experience

  • High School Diploma or equivalent required.
  • Minimum of one (1) year of experience in an administrative or clerical support role.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must be able to access and navigate all areas of the office.
