Our Learning Operations and Business Excellence team is seeking a motivated new team member to reinforce our capacities in an international environment.
We are responsible for a variety of interesting and challenging tasks, constantly integrating new processes and initiatives into our workflows.
We rely on our bundled expertise of different tools and processes to drive efficiency and ensure customer satisfaction, ultimately helping our target audience perform their work effectively.
You will join our team as a key contributor in the areas of Document Workflow Management and Business Support.

Main Tasks:
Documentation Management
You will ensure compliance and accuracy across our documentation systems:
Create and manage signature workflows for regulatory-relevant documents in document management systems (DMS) according to specifications
Ensure high quality in reviewing, modifying documents and maintaining accuracy of metadata entries in eDMS.
Responsible for the end-to-end management of work assignments in the Rexis IT system, including the generation of change orders and work orders using modification labels and continuous tracking via the modification fulfillment report.
Serve as the first point of contact and trusted partner for all routine questions regarding eDMS (DiaDoc) for the GCS organization.
Partner with other departments to support and maintain overall data and documentation quality.
Business Support
You will provide essential administrative and logistical backbone to the team:
Manage the purchase order process for diverse orders, including vendor creation and efficient coordination of approval with stakeholders.
Organize GCS workshops and events, managing all logistical aspects such as venue selection, catering, accommodation arrangements and services to guarantee seamless delivery.
Coordinate overseas travel and provide timely support and guidance to internal users for EMEA travels using Travel Management System (e.g. expense reporting, booking modifications and travel policy inquiries).
Facilitate and manage key aspects of employee onboarding
Possible additional tasks such as
Training Coordinator
You will independently manage the administrative lifecycle of local and global training programs, focusing on learner experience and data integrity:
Independently organize and manage routine local and global product/non-product training courses, ensuring efficient communication and coordination with stakeholders worldwide.
Executing routine session creation and management within the Learning Management System (LMS) Cornerstone, including learner registrations, assignments, waiting list coordination, prerequisite and pre-work monitoring.
Establish and maintain the availability and high data quality of all relevant training content and metadata within the LMS.
Act as the primary point of contact for all learners throughout the end-to-end training process by providing logistical support including travel management, accommodation planning, VISA application assistance and on-site support.
Provide first-level user support for DIA Product training-related questions.
Manage essential training processes such as Content Lifecycle Management (CLM).
Generate general ad hoc reports as requested by stakeholders to meet their business/training needs.
SKILLS: Basic knowledge of all tools and processes used to perform routine tasks independently; ability to work independently on routine tasks; good organizational talent; strong customer/service orientation; accuracy and reliability; independent and efficient organization of work processes
Very good written and spoken English skills; knowledge of a second foreign language is an advantage
QUALIFICATIONS: intermediate school diploma/high school diploma; completed commercial vocational training
WORK EXPERIENCE: At least two years of experience in training management, ideally within a service unit.
