Position Summary:
In the Order-to-Cash (OtC) department, the Lead Finance Representative for E-billing is integral to ensuring seamless invoicing operations. Responsibilities include monitoring e-invoice statuses, addressing discrepancies promptly, and improving processes. Effective collaboration with external and internal customers, such as the Credit and Collections team, Customer Care, and other Thermo Fisher departments, is key to issue resolution and efficient cash flow management.
Responsibilities:
- Accurately assess the status of invoices on the E-Invoicing portal
- Monitor submissions for failures and rejections, and take immediate corrective actions
- Maintain a tracker for all failed and rejected invoices and their statuses
- Keep an updated list of customers enrolled in E-Invoicing
- Assist in the orientation process for new clients on the E-Invoicing platform
- Support root cause analysis to reduce failed/rejected, disputed, or incomplete invoices
- Communicate assertively with internal teams and clients to gather necessary details for invoice corrections
- Resubmit revised invoices within agreed timelines to minimize payment delays
- Collaborate with collaborators to proactively address issues and eliminate recurring errors
- Review invoices for accuracy, ensuring compliance with company policies, client guidelines, and SOX requirements
- Identify gaps and drive improvements to streamline operations
- Provide updates to management on rework progress and potential risks to cash flow
- Generate reports on portal activities, rejection trends, and resolution metrics
- Assist in training and mentoring new employees in the OtC department
- Participate actively in department or cross-functional projects
- Other duties as assigned by the Line Manager
Skills & Qualifications Required:
- Effective and confident communication skills for interacting with various levels of internal and external customers
- Exceptional attention to detail and accuracy
- Experience with invoice platforms and conflict resolution
- Strong communication abilities for effective collaboration with a diverse group of individuals
- Comfort in a fast-paced environment
- Ability to work independently to address complex issues and handle initial customer concerns
- Strong organizational and time management skills
- Initiative and organizational skills to complete a large volume of work in a timely manner
- Willingness to train and mentor newcomers
- Problem-solving and analytical ability
- Qualifications and experience:
Fluent in English
University or College degree
Proficiency in Microsoft Office software (Outlook, Excel, etc.)
Previous work experience in a Shared Service Center in a similar role
Familiarity with invoice platforms
