The HR Receptionist serves as the first impression with caregivers, candidates, visitors, and members of the public. With courtesy and compassion, they are responsible for creating initial customer interaction, directing guests to meeting rooms, the computer lab, offices, etc. They are responsible for communicating with internal and external customers in-person and by phone. Additionally, they are responsible for the administrative duties assigned by the Vice President of Human Resources or HR Operations Administrator.

Required Qualifications:

  • High school diploma or GED
  • Sufficient customer service experience /knowledge needed to communicate/work effectively with hospital staff and other customers
  • Demonstrated active listening skills
  • Demonstrative ability to multitask in a fast-paced office environment
  • Rapport-building skills
  • Computer skills including MS Office
  • Ability to maintain a level of competency during periods of competing priorities
  • Good organizational and recordkeeping skills

Preferred Qualifications:

  • Previous receptionist experience
  • Previous American Heart Association experience

Duties and Responsibilities: 

  • Greet Center for Workforce Excellence (CWE) guests promptly and with a smile
  • Communicate at the highest level; friendly, clear, and welcoming
  • Provide undivided attention; making everyone feel they are the only person who matters
  • Provide warm incoming calls transfers to CWE staff members
  • Answer the phone at the front desk within 1 to 3 rings
  • Service as the air traffic controller of the CWE; ensuring that guests are connected with their appointments immediately and remaining attentive to those that have to wait due to delayed appointment schedules
  • Monitor reception area to ensure a clean and tidy environment
  • Schedules meeting rooms and maintain a centralized Outlook Calendar for Meeting Rooms
  • Order supplies for the CWE
  • Assist employees, contractors or students with attaining proper access badges.
  • Send anniversary letters to employees at their one-year anniversary
  • Manage a Birthday Calendar for all employees in the CWE
  • Ensure that PTO calendars are monitored and up-to-date
  • Process forms and paperwork for the CWE department
  • Assists in printing and assembling New Caregiver Orientation packets
  • Catalogs and updates all AHA training resources
  • Prepares and monitors AHA class materials and registration notification procedures
  • Ensures AHA class equipment and room availability, and maintains appropriate documentation files for AHA and CNE requirements
  • Distributes AHA eCards, class surveys and certifications upon course completion
  • Assists and supports CWE projects, as needed
  • Perform other duties as assigned

Communication:

  • Provides clear concise information to customers
  • Effectively communicates with staff and instructors

Knowledge and Skills:

  • Must have computer skills and the ability to learn HRMS and LMS. 
  • Must have proficient Microsoft Office skills (Outlook, Word, Excel, and PowerPoint).
