Gulf Tender & Process Excellence Manager

ROLE SUMMARY
- Oversee tender workflow and ensure timely submissions of approved quotations to tender customers through distributors. Manage workflow approvals, perform tender price governance on distributors. & manage AZ tender platform (e.g. Tender Pro) ensuring compliance with Tender SOPs maximizing efficiency and effectiveness of the overall process.
- Provide G2N analytics and actionable insights on pricing strategies of tender and trade customers for Gulf markets with an objective to drive improvement over budgeted assumptions and mitigate risks
- Oversee the distributor claim management cycle by identifying choke points and highlighting relevant approvals to take actions to avoid delays in approvals
- Maintain and enhance the SWIFT platform, ensuring seamless distributor claims processing, timely approvals, and proactive issue resolution. Monitor approval workflows and highlight delays to department heads.
- Lead SOP development for the Commercial Operations Department, ensuring timely updates, compliance adherence, and team training. Conduct quarterly audits to drive process discipline and continuous improvement.
- Oversee governance of distributor P.Os received in AZ systems (like Order portal system) in alignment with Demand Head and Country Managers and ensure SAP entries are processed in close collaboration with finance.
- Work closely with Country Directors, Commercial Heads, and Finance teams to support strategic decision-making through data-driven analysis.
What you’ll do
Claims Management Commercial Oversight - GCC:
- Maintain and oversee the SWIFT platform, ensuring the seamless submission, validation, and approval of distributor claims across GCC.
- Proactively monitor the approval flow to prevent delays, ensuring that claim approvals are processed within the agreed turnaround time.
- Highlight delayed claims to relevant department heads and take corrective action to resolve bottlenecks.
- Regularly review and update the approval workflows to reflect organizational role changes, ensuring no disruption in the approval chain.
- Collaborate with IT and Commercial teams to enhance platform functionality and improve distributor experience.
Tender Operations & Analytics - Gulf:
- Maintain and optimize Tender Pro, ensuring end-to-end tracking of tender quotations, approval logs, and historical pricing data.
- Oversee and manage tender submissions, ensuring that quotations are prepared and submitted within defined timelines.
- Ensure all necessary approvals from the key stakeholders are obtained before tender submissions.
- Leverage G2N analytics to provide data-driven insights for tender pricing decisions, ensuring competitive yet profitable price quotations.
- Work closely with the Tender Manager to improve tendering efficiency, mitigate risks, and drive compliance with tender regulations.
G2N Performance & Commercial Benefit Analysis:
- Review and analyze Gross-to-Net (G2N) performance across GCC markets, identifying trends, risks, and opportunities.
- Conduct historical commercial benefit analysis to support forecasting, business planning, and decision-making.
- Ensure data integrity and process adherence by validating in-market sales data and distributor transactions.
- Provide actionable insights on G2N discounts, FOC strategies, and market pricing trends to optimize financial performance.
- Partner with cross-functional teams to enhance reporting frameworks and automate performance tracking.
Process Excellence & SOP Management - GCC:
- Lead SOP governance within the Commercial Operations Department by ensuring all standard operating procedures are up to date and aligned with internal policies and compliance requirements.
- Collaborate with Compliance, Finance, and Commercial teams to update SOPs based on audit recommendations and regulatory changes.
- Conduct quarterly audits to monitor adherence to SOPs and identify areas for improvement.
- Develop and implement training programs to ensure all team members understand and comply with SOPs.
- Act as the primary point of contact for SOP-related clarifications and interpretation, ensuring operational consistency across markets.
Order Processing & Validation:
- Oversee distributor POs via the order portal and SAP, including value, quantity, brand, and backup documentation.
- Order adjustments per MMF (SAP & OB),
- Landing file management includes bi-weekly shipping status updates and coordination with finance for CMR reports
SAP entries & assigned commercial-financial controls:
- Oversight on Mapping commissions, rebates, discounts, CIF pricing, and new SKUs with backend support
- 1st line monitoring of Monthly reconciliation of CMR vs. Orderbook with FBP and GFS teams.
- 1st line monitoring of GRC Dashboard validation & Tatmeen claim validation (via SWIFT)
- Credit/Debit oversight in SAP for each product line.
- Pricing & Approvals: Confirm CIF with pricing specialists and obtain CFO approval for SAP updates, ensuring audit compliance.
Cross-functional Support:
- Address ad-hoc requests from Commercial Operations Director, Country Directors, and Finance, ensuring timely and data-driven support.
- Provide strategic insights and analytical support for commercial decision-making, including pricing strategies and performance tracking.
- Act as a key liaison between Commercial, Finance, and Compliance teams to ensure smooth operations across business functions.
- Support key business initiatives related to efficiency improvements, process automation, and commercial strategy execution.

- Ensure that all conducted activities are done in accordance with local legislation and corporate standards.
- Timely report (as per respective procedures): health/environment/wellbeing related accidents; adverse events that you became aware about; change in status of your Conflict of Interest.

Essential for the role
- Bachelor’s degree
- Knowledge and experience of financial planning processes and tools
- Strategic thinking & influencing skills, understanding of forecasts, budgets, financial processes and tools, project management skills and strong interpersonal, communication (written and oral), organizational, relationship building, and consulting skills
- Process excellence and SOP design and controls experience
- Cross-functional team experience
- Influencing, Analytical thinking, and presentation skills
Desirable for the role
- MBA Finance/CPA/ACCA/CA/CPA/CIMA
- Work experience (above 5 years) from analytical & controlling positions within finance.
- Tender management experience
- Process excellence and SOP design and controls experience
- Advance MS Excel & Access with Macros and BI/SAP
