Position Overview
The Government Relations Executive will support and assist in the delivery of Energy events with the Government Relations Department, The role focuses on coordinating government-related permits, registrations, embassy interactions, protocol requirements, and providing on-site assistance to senior officials and delegates.
This position requires excellent attention to detail, strong communication skills and professionalism
Key Responsibilities
Assist with Speaker Permit & Government Platform Management
- Register speakers on the DCT/TAMM platform, ensuring all required information is accurate and submitted on time.
- Manage payment processing for speaker permits and maintain documentation for all transactions.
- Track the status of every permit, following up with authorities or internal teams whenever needed.
- Prepare summaries, updates, and reports for the Government Relations team.
Assist with the VIP Registration & Protocol Coordination
- Support VIP registrations via the GES (VISIT) platform, ensuring correct submission of all data.
- Assist with securing approvals, badges, and access passes for VIPs, including ministers, ambassadors, and senior executives.
- Work closely with the protocol and VIP teams to identify special requirements and ensure compliance with event protocols.
Embassy, Diplomatic & Government Liaison Support
- Assist in coordinating communication with embassies, consulates, and government entities as required.
- Support delivery of diplomatic tasks such as:
- Handling ambassadors’ badge collections
- Assisting with official invitations
- Supporting opening ceremony protocol and escorting delegations
- Maintain a respectful, professional representation of the organisation in all government-facing interactions.
On-Site Support During Events
- Support government and VIP operations during live events, including:
- Managing badge handover for ambassadors and government officials
- Supporting VIP routing and access
- Assisting with protocol during opening ceremonies
- Handling embassy queries and coordination
- Work closely with the Government Relations team to ensure seamless execution of all protocol requirements.
ADNOC & VIP Desk Assistance – For ADIPEC
- Provide support at the ADNOC registration desk, assisting with delegate verification, badge printing, and enquiries.
- Ensure a high level of professionalism and service when dealing with VIPs and senior delegates from ADNOC
Skills & Qualifications
- Strong communication and interpersonal skills; comfortable interacting with senior officials and diplomatic representatives.
- Ability to manage multiple tasks and deadlines under time pressure.
- Experience with government or event registration platforms (training provided if needed).
- Strong teamwork skills and a proactive working attitude.
Working Conditions
- Required to support several international events throughout the year.
- Must be available for on-site event days, which may involve extended or flexible working hours.
- Expected to work closely with cross-functional teams, government partners, and diplomatic missions.
