Fund Payment Officer

Reports to Client Relationship Manager

This role is within an administration team looking after a single large client (the Client) and will sit in a  team known as the Fund Sub Team (FST).

The FST is responsible for the payment of capital calls and distributions relating to Special Purpose Vehicles (SPVs), Master Funds (MF), debt interest, principal repayments, swap payments and other  transactions/payments for the various Funds under administration.

The FST is also responsible for preparing and delivering monthly, quarterly and annually reporting to  relevant lenders and investors, ensuring secure file transfer using secure file transfers protocol (SFTP) and supporting auditor and depositary requests for the Funds under administration.

Key responsibilities:

  • Payment  tracker  review,  ensuring  that  payments  have  been  added  to  the  tracker  and  prepare payment tracker (when required)
  • Prepare MFs, SPVs, Debt and other related payments
  • Correspond with the Boards, client, lenders and other FST’s stakeholders 
  • Responsible for ensuring the timely input and submission of drawdown and distribution notices on the Client’s portal for approval and distribute the approved notices to investors
  • Ensure lenders and investors’ reporting are delivered via the investor’s portal in timely manner
  • Working  closely  with  the Client,  accounting  teams, banking  partners,  lenders and FST’s stakeholders to resolve any discrepancies or queries that arise
  • Mailbox management of the FST mailboxes, ensuring that emails are categorised correctly and allocated to appropriate  individuals on the FST with  a view to resolving third-party requests  for information / queries as soon as possible
  • Prepare distribution in kind operations
  • Act as a mentor to junior staff under the supervision of senior staff

Skills, knowledge, expertise:

  • Previous fund administration experience is preferred, however is not essential for this role
  • The candidate will ideally be part-qualified with a relevant professional qualification (preferably ICSA Diploma level or equivalent)
  • Exceptional organisational skills are required, along with the ability to  multitask and attention to detail is a must
  • Computer literacy skills are essential and the ability to pick up various systems is required
  • Very good interpersonal skills are required to develop close working relationships with colleagues, clients, business contacts and other stakeholders
  • Good level of business English communication, both written and spoken is essential
