Act as the main point of contact for all employee and visitor needs
Greet and assist visitors; manage security and access badges; coordinate meeting rooms and parking
Vendor relationship management for key office services (coffee/snacks, supplies, shredding, first aid, plants, HVAC, janitorial, etc.)
Liaise with property management on all building/site issues
Serve as liaison between Workplace and other departments (Safety, IT, HR, Benefits, Legal, Marketing, etc.)
Schedule and track work orders via C&W’s CMMS to ensure timely completion
Support implementation of workplace programs and operations, including:
Handling internal service requests
Managing office repairs, furniture moves, and space utilization
Coordinating safety programs
Managing budget tracking, purchase orders, invoices, and expenses
Supporting new hire orientations and workstation assignments
Plan, coordinate, and help facilitate social and wellbeing events (Wellbeing, Giving & Doing, Belonging & Diversity, Benefits, and more)
Carry out additional ad-hoc duties as required
When required by location:
Manage reception, greeting, and visitor services
Oversee mail and shipping (receiving, delivering, sending)
Maintain office supplies, stock levels, and overall office aesthetics
Strong interpersonal and communication skills with a customer-service mindset
Team player with the ability to motivate and coordinate supplier teams
Highly organized, proactive, and detail-oriented
Able to stay calm and solve problems logically in fast-paced or unexpected situations
Excellent multitasking abilities
Positive, approachable, and professional attitude
2+ years of experience in Facilities Management, Office Management, or Reception (preferably in an international environment)
Experience managing vendors and working with cross-functional teams
Proficient in Microsoft Office tools (Word, Excel, PowerPoint, SharePoint, Outlook, OneDrive, Planner, etc.)
Knowledge of budgeting and financial tracking
Fluent in written and spoken English
