Job Summary
The Flight Coordinator is responsible for scheduling jet, helicopters and drones according to customer requests, crew availability, maintenance needs, weather conditions, and airport requirements. The Flight Coordinator is also responsible for processing financial documents for payment of vendor invoices.
Essential Functions
Works closely with support teams to receive requests for aircraft services and enter them into the flight scheduling system
Consistently collaborates with flight department team members to ensure operational consistency and enhanced customer service
Assists with arranging catering, ground transportation, aircraft services and lodging, as necessary, for crew and passengers
Maintains department records including flight, maintenance, financial, and personnel records
Prepares and retains trip packets for passengers and crew
Provides accounting services such as SIFL reporting, auditing, and submitting invoices for payment
Coordinates chartered aircraft services when necessary
Schedules flights to ensure flight crews are in compliance with company flight and duty time limitations
Maintains a flight following system to ensure aircraft safety
Coordinates flight and maintenance schedules with maintenance personnel
Maintains detailed department financial records and generate inter-company invoices
Maintains safety culture through open communication and engagement
Required Qualifications For Position
Associate's Degree
At least two years aviation-related experience or travel agency experience
Basic understanding of aircraft performance and runway analysis High
Proficient with personal computers including, but not limited to: spreadsheets and electronic communication. High
Knowledge of complex computer software related to flight dispatching and logistic support High
Proficiency in the Microsoft suite of business applications High
Ability to communicate effectively in both oral and written form. Medium
Firm understanding and ownership of industry best practices including IS-BAO (International Standard for Business Aircraft Operations) Low
Basic understanding of UAS (unmanned aircraft systems) scheduling operations Low
Preferred Additional Qualifications for Position
Bachelor's Degree
Bookkeeping and/or accounting experience
FAA Aircraft Dispatcher Certificate

Salary Range*:
$93,800.00 - $140,700.00*The salary offered to a candidate is based on several factors including but not limited to the candidate’s skills, job-related knowledge, and relevant experience, as well as internal pay equity.
