Facilities Specialist
Cooley LLP’s Los Angeles office is seeking a Facilities Specialist to join the Facilities team.
Position summary: The Facilities Specialist is responsible for assisting the Operations Manager and/or Director of Administration through overall support with client services, office supply management and maintenance of the building to ensure compliance to Cooley standards. Specific duties and responsibilities include, but are not limited to, the following:
Position Responsibilities:
- Responsible for purchasing and inventory of all office supplies, bathroom supplies, paper products and any special requests
- Ensure service contracts are up to date on necessary equipment
- Responsible for the moving office equipment and furniture, as needed communicated on the Firm’s online reservation system
- Provide backup receptionist support, as needed.
- Proactively monitor the Firm’s online reservation system to ensure all departments are prepared for all meetings and events
- Schedule repairs for all equipment and furniture. Schedule all repairs for building equipment
- Verify and process invoices for all items received for review with the Operations Manager
- Work closely with the Operations Manager to maintain master keys for all Cooley doors, desks, file cabinets, stockrooms, etc
- Facilitate the organization and stocking of all new employee and visitor offices and workstations
- Manage and update the office floor plan
- Frequently inspect all areas of the leased space for cleanliness, organization and to ensure all areas are up to base building property management and Cooley standards
- Work with the Operations Manager and/or Director of Administration to maintain all safety material and equipment
- Assist Guest Services Manager with a variety of client needs for meetings and events , as needed
- Review monthly usage reports for supplies and identify areas to improve cost and overall service
- Together with Operations Manager or Director of Administration, supervise all aspects of office moves and events
- Schedule repairs for all equipment and furniture and oversee service providers when conducting maintenance in Cooley space
- Liaise with building management and service providers as directed by Operations Manager and/or Director of Administration
- Assist with ergonomic evaluations and installation of ergonomic equipment
- All other duties as assigned or required by Operations, Guest Services Manager and Director of Administration
Skills & Experience:
Required:
- After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
- Available to work overtime, as required
- 3+ years experience with inventory management, purchasing, client services and quality assurance
Preferred:
- Bachelor’s degree
- Prior operations/guest services experience
- Experience with productivity, problem solving, customer service and teamwork
Competencies:
- Ability to prioritize duties and handle multiple tasks simultaneously
- Ability to organize and communicate multiple tasks well in oral and written form
- Strong interpersonal skills
- Professional demeanor; ability to maintain confidentiality and work with a minimum of supervision.
- Ability to work collaboratively across teams to accomplish tasks

The expected hourly pay range for this position with a work schedule of 40 hours per week is $33.50 - $41.00 ($69,680.00 - $85,280.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
