What this job involves:

JLL is seeking a Facilities Coordinator to join the Facilities Management Team (FMT) at one of it's larger client sites downtown Toronto, close to the Waterfront. The FMT coordinates campus services and administrative functions for a large creative hub and the client's leading centre of excellence. You will support the team with day-to-day building and office operations, including projects, moves, adds, and changes. As a Facilities Coordinator, you will ensure optimal operation, aesthetics, and condition for the client's employees and guests.

This role is on-site 5 days/week. The client site is located one block from Waterfront Toronto and offers a daily shuttle service to Union Station.

What your day-to-day will look like:
• Interact with client employees regularly and address issues or concerns promptly
• Maintain client satisfaction with the delivery of efficient facility management services
• Act as a liaison between client teams and all vendors.
• Escort contractors when on-site, ensuring they are following building, client, and JLL policies and confirming the service delivery is completed.
• Follow policy requirements regarding health & safety to ensure safe building operations.
• Support the Operational Compliance Program (OCP) and HSSE (Health Safety Security and Environment) programs.
• Assist with walkthroughs, create punch lists, and ensure work is completed to expectation.
• Assist Facilities Manager with day-to-day tasks and provide routine updates
• Timely and accurate review and approval of all vendor invoices and follow-up where discrepancies are identified.
• Ensure work orders are managed on time following operating procedures
• Assist with the management of COIs (certificate of insurance) and any necessary licensing
• Provide facility issue tracking and support
• Coordinate pick up of crates and equipment

• Support other projects, special assignments, and administrative duties assigned

• Provide support with projects including construction, repairs and moves

Required Qualifications:
• 2+ years of facility management experience or commercial real estate experience
• Strong interpersonal and critical thinking skills
• Excellent verbal/written communication and presentation skills
• Proven record of providing excellent customer service
• Proficient in Microsoft Office Suite
• Ability to multi-task and effectively organize responsibilities to achieve goals and objectives
