As an Executive Assistant to VP and Head of Americas Commercial Operations supporting Americas Commercial Operations, you will be trusted to enable executive leadership effectiveness and ensuring seamless administrative support across all key initiatives in the Americas Commercial Operations organization. This position demands an individual with exceptional organizational skills, the ability to manage complex priorities, and a proactive mindset. The Executive Assistant operates as a trusted partner to the VP, facilitating both strategic and day-to-day administrative requirements within a dynamic, fast-paced business environment. This role is based out of our Fort Worth, TX location.

In this role, a typical day will include:

  • Manage a busy and frequently changing Executive calendar with a proactive, solutions-oriented mindset.
  • Coordinate meetings and conference calls with internal and external business partners, often in different time zones.
  • Arrange domestic and international travel, including visa processing when needed.
  • Coordinate leadership team monthly staff meetings including gathering of information to prepare and distribute agenda and pre-read materials.
  • Prepare and submit on a timely basis expense reports, in accordance with company policies.
  • Prepare and distribute internal communications within the CommOps organization.
  • Partner with executive and members of the leadership team in the coordination and efficient execution of town halls and leadership team off-sites.
  • Prepare and/or review management presentations in Microsoft PowerPoint & Word.
  • Process purchase orders and order office supplies as needed.
  • Frequently interact with internal and external contacts at all levels of the organization.
  • Support other members of the CommOps leadership team as back up when required.
  • Own execution of business projects as assigned by the Executive.
  • Coordinate on-boarding and offboarding activities of members of the leadership team.
  • Serve as a point of contact for questions related to company internal policies and procedures.
  • Maintain organizational charts and distribution lists.

WHAT YOU’LL BRING TO ALCON:

  • Bachelor’s degree preferred or High School Diploma +15 years of relevant experience.
  • The ability to fluently read, write, understand, and communicate in English.
