Executive Assistant – Strategy, Corporate Development (M&A)

We are currently seeking an experienced Executive Assistant to provide operational and administrative support to our Corporate Development (M&A) team. This role will support and interact with senior leadership and other team members and administrative professionals on complex scheduling project management and information requests.  This role will provide support, including administration of travel, expenses, meeting logistics and distribution of materials, as well as being responsible for a wide range of administrative support that enhances the efficiency of the Head of Corporate Development and team. The Executive Assistant will be able to manage multiple priorities requiring excellent attention to detail and an ability to proactively anticipate needs. Work can be highly sensitive in nature and therefore strict confidentiality, and good judgment is required.

About the Role

In this opportunity as an Executive Assistant, you will:

  • Handle a variety of tasks including processing expenses, invoices and outside services costs, coordinating meetings and events, tracking information requests, presentation collation, and other special projects in an accurate and timely manner.
  • Provide a wide range of administrative support that enhances the efficiency of the Head of Corporate Development and team including the use of technology systems used within each function (examples include the full Microsoft Office 365 suite, Workday, Travel & Expense)
  • Identify, research, and resolve complex problems and issues referred by others. Establish strong business relationships with other administrative professionals internally to determine solutions swiftly. Responsible for accurate, timely response to work requests and work not typically directed or checked by others.
  • Interact with various leaders including senior management and their administrative support staff on significant matters, anticipating and responding to requests by modifying plans based on priorities.
  • Compose and prepare reports and correspondence including proofreading for correct spelling, grammar, punctuation, usage, and content.
  • Maintain calendar via scheduling, vetting and prioritization of various items. Handle and respond to informational inquiries and redirect them to the appropriate team member for resolution.
  • Prepare domestic and international itineraries and travel arrangements.
  • Project management of various initiatives.
  • Support of standing management led meetings and events.
  • Other projects and duties as assigned including ad-hoc requests.

About You

You’re a fit for the role of Executive Assistant if you:

  • Have a college diploma/University degree or equivalent experience. 
  • Have 5+ years of experience providing executive support.
  • Have advanced computer skills (MS Office, Word, PowerPoint, Excel, Teams, One Note).
  • Are proficient with billing, travel and expense management systems.
  • Have experience in working within fast-paced, complex, dynamic, multi-cultural business environments.
  • Excellent oral and written communication abilities.
  • Exemplary judgement and discretion, demonstrating the ability to work with a wide range of sensitive and confidential issues.
  • Have thorough knowledge of general office practices; resourcefulness in gathering data and getting answers to questions.
  • Are detail orientated with the ability to work efficiently with complex information.
  • Are a self-starter and proactive with the ability to work with minimal supervision and manage workload effectively with competing demands for resources and time.
  • Have proven organization skills including ability to shift focus between responsibilities quickly.
  • Can manage and prioritize multiple tasks in a dynamic work environment including a proven ability to meet aggressive deadlines.
  • Motivated to learn new skills in a spirit of continuous improvement and personal growth.
  • Proactive with a ‘can do’ attitude and will jump in to support others as needed.

Thomson Reuters complies with local laws that require upfront disclosure of the expected pay range for a position. The base compensation range varies across locations. Eligible office location(s) for this role include one or more of the following: New York City, San Francisco, Los Angeles, and/or Irvine, CA; McLean, VA; Washington, DC. The base compensation range for the role in any of those locations is $64,540 - $119,860. For any eligible US locations, unless otherwise noted, the base compensation range for this role is $56,000 - $104,000. This role may also be eligible for an Annual Bonus based on a combination of enterprise and individual performance. Base pay is positioned within the range based on several factors including an individual’s knowledge, skills and experience with consideration given to internal equity. Base pay is one part of a comprehensive Total Reward program which also includes flexible and supportive benefits and other wellbeing programs.
