Overview of Role

The Executive Assistant will a pivotal role in supporting the Group CFO/COO, acting as a trusted partner and key liaison both internally and externally. This position requires a proactive, highly organised individual who can anticipate needs, manage competing priorities, and ensure the executive is fully prepared for all commitments. The Executive Assistant is responsible for maintaining the smooth operation of the executive office, facilitating effective communication, and fostering strong relationships across the business.

Responsibilities

  • Provide extensive EA support, acting as the ‘gatekeeper’ for the Group CFO/COO and representing the executive both internally and externally.
  • Anticipate challenges, proactively resolve issues, and prioritise competing demands.
  • Ensure the executive is fully prepared for all meetings and events, providing relevant papers, talking points, and scripts.
  • Schedule and coordinate regular 1-2-1 meetings with direct reports and senior management.
  • Organise internal and external lunch arrangements.
  • Organise complex international and domestic travel, including hotel bookings, airport transfers, and detailed itineraries.
  • Prepare accurate travel documentation, including contact details and key addresses.
  • Manage all communication channels (phone, email, etc.), responding promptly and appropriately.
  • Oversee both direct and central inboxes, flagging urgent requests and tracking action items to completion.
  • Draft, review, and proofread correspondence and presentations as required.
  • Provide assistance with external roles and personal admin for the Group CFO/COO (e.g., appointments, family travel, reminders).
  • Reconcile expenses and claims promptly and accurately.

Experience, Skills and Competencies Required

  • Prior experience as an Executive Assistant supporting Board or C-suite level executives on a 1-2-1 basis.
  • Advanced knowledge of Outlook, Word, PowerPoint, and Excel.
  • Excellent interpersonal skills – able to communicate clearly and effectively at all levels within Rothschild & Co globally and externally with clients and prospects.
  • Ability to maintain high-level of confidentiality in respect of information/documents/projects being produced/undertaken.
  • Ability to manage several projects simultaneously, whilst achieving consistently high standards of accuracy, detail and deadlines.
  • Proactive attitude with the ability to act with good judgment and common sense on a day-to-day basis regarding assigned and ad hoc duties.
  • Self-motivated, confident, resilient, a team player with a good sense of humour.
  • Enthusiastic attitude, solutions focused, reliable with a flexible attitude towards working hours.
  • Ability to work with limited direction and build up a thorough knowledge of an organisation.

Other

  • Build and maintain good working relationships with other EAs / Team Assistants across the business.
  • Build and maintain trusted relationships with board members, senior leaders, and external stakeholders, acting as a key liaison for the executive office.
  • Facilitate cross-functional collaboration and act as a bridge between the executive office and key stakeholders.
  • Adapt to changing priorities and provide flexible support as needed.
