Your Contribution:

As the Executive Assistant (m/f/d), you will support the Aftermarket Leadership Team in our Hannover Headquarters office. This includes direct support for the Vice President Aftermarket EMEA, Manager Change Management, Director Finance Aftermarket and other ad-hoc demands from the department. In this dynamic environment you will be responsible for a wide range of administrative and organizational tasks, acting as a key interface between leadership, internal departments, external partners, and customers.

Key Responsibilities:

  • Provide administrative support to the Aftermarket Leadership Team

  • Manage calendars and coordinate meetings

  • Prepare and follow-up on team meetings, incl. document management

  • Organize travel arrangements, including booking, expense reporting, and itinerary planning

  • Welcome and support visitors, including room coordination and hospitality

  • Assist in planning and executing internal and external events

  • Handle legal document management: coordination, digitization, and archiving

  • Support special projects and communication formats such as employee engagement and SharePoint / Viva Engage

  • Create and process purchase requisitions and orders for e.g. office supplies and customer gifts

  • Serve as the point of contact for service providers (IT, facility management etc.)

  • Act as a liaison between departments and external stakeholders

Knowledge, Skills and Abilities:

  • Completed Apprenticeship in the field of Business Administration, Communication/Languages or other relevant fields

  • Working experience as Executive/Team Assistant or similar role, ideally in the automotive industry or international matrix organization

  • Strong organizational and communication skills

  • Proactive, structured and independent working style

  • Professional demeanor with a high level of discretion and a friendly, service-oriented attitude

  • Team-player attitude, flexibility to adapt to business needs and commitment to continuous improvement

  • Fluency in German and English

  • Proficiency in Microsoft 365 (Outlook, Teams) and SAP

  • Knowledge in SharePoint Administration and Viva Engage is a plus
