Are you highly organized with high attention to detail and ability to manage multiple projects with competing priorities? Reporting to the Assistant Manager, Events, you will coordinate events and activations that engage customers and provides product knowledge in a socially responsible manner. This role drives the flawless execution of ticketed events that satisfy business objectives and Merchandising needs. This includes following a comprehensive event co-ordination process for multiple events with competing priorities and executing ad-hoc/time sensitive projects and overseeing them to successful completion within timelines.

About the Role

  • Responsible for seamlessly coordinating and implementing a variety of pre-assigned events and programs that reflect the LCBO brand and vision.
  • Liaise with sponsors, vendors, venues, agents, suppliers, and internal marketing experts to help ensure events run smoothly and on budget.
  • Leading project planning by tracking timelines and coordinating with cross-functional teams and stakeholders.
  • Procure all goods and services required to execute approved event scope, which includes obtaining quotes, Special Occasion Permits (SOP), formal estimates, co-ordinate and arrange delivery of products, issuing purchase orders and processing all invoices.
  • Track expenses, assist with account reconciliation, and prepare budget updates for the Manager’s review.
  • Provide event updates and assist with administrative tasks such as confirmation letters, supplier invoicing, contract tracking, and collection of sales data.
  • Maintain event schedules, critical paths, and dashboards.
  • Creating post-event reports by collecting data, summarizing outcomes, and providing recommendations for improvements.

About You

  • Demonstrated expertise planning, coordinating, and implementing events and related post-secondary education.
  • Project management experience, i.e., creating critical paths, managing budgets, securing stakeholder support.
  • Demonstrated experience and proficiency in MS Office (Outlook, Word, Excel, PowerPoint, Access), including ability to build financial spreadsheets and presentations from scratch.
  • Ability to generate post-event reports with recommendations based on analysis of data.
  • Excellent interpersonal and multi-tasking capabilities by managing conflicting demands & priorities with high level of attention to detail and meet tight deadlines.
  • Excellent business communications (verbal and written) and the ability to sell the Events program to clients & customers.
  • Ability to research and present information in both written and presentation formats.
  • Ability to lift and carry items (e.g., props, bottles, cases), to stand for extended periods at events and ability to travel within the province with occasional overnight stays and the flexibility to work overtime hours, most often in the evenings and occasionally on weekend.
  • Extensive customer service experience with demonstrated integrity, tact, and diplomacy skills.
  • Knowledge of Retail Operations and successful completion of PK I–III would be an asset.
