What you’ll do
As our Workplace Experience Coordinator, you'll be the heartbeat of our +60-person Amsterdam office, the go-to person ensuring a smooth, welcoming, and efficient office experience every day. As our team continues to grow, you'll play a key role in maintaining the startup spirit that makes our workspace special.
This is a hands-on, high-impact role where you'll have real ownership over the office environment, events calendar, and workplace policies. You'll work with autonomy and trust, collaborating closely with our Workplace team in Germany while adapting and localizing policies to fit our Dutch office culture.
We're looking for someone who doesn't just maintain the status quo: if you see something that's not working, you'll take initiative to improve it.
Your work will have a tangible, visible impact on everyone's day-to-day experience. This role blends operations, hospitality, light finance admin, and community building, offering you opportunities to deepen skills in vendor management, budgeting, SAP, event operations, and workplace strategy — all with the startup mentality within a scale-up environment.
Your responsibilities include but are not limited to:
- Workplace operations
- Act as the main office contact; handle incoming/outgoing mail and packages
- Manage keys and physical security basics; report repairs and track follow‑ups
- Restock office consumables (supplies, groceries, snacks, drinks)
- Set up breakfast catering and Doctolib Monthly Meeting catering; oversee daily office readiness
- Coordinate with vendors; add and maintain them in our systems; manage POs and goods confirmation in SAP
- Monitor local budget; prepare expense reports; liaise with local finance
- People experience
- Assist with Onboarding and Offboarding, packages and logistics
- Support Dutch lessons coordination
- Communicate updates to the office team; gather feedback and act on it
- Provide support to the German Workplace Experience team on shared initiatives
- Events and culture
- Plan and execute office events: Kids’ Day, Summer BBQ, Back to School, Christmas party, farewells
- Organize ad‑hoc requests (workshops, business lunches, small celebrations)

- Have strong organizational skills with attention to detail and ability to prioritize in a fast-paced, growing environment
- Are comfortable with basic budgeting, expenses, and vendor coordination; SAP experience a plus

The interview process
- Recruiter call (30 min)
- Hiring manager interview (45 min)
- Practical task (ideally onsite)
- Final Interview with Workplace team members
- At least two reference checks
Job details
- Fixed term contract (12 months)
- Part Time (min 24h, ideally 30h/week)
- Workplace: Amsterdam
- Start date: as soon as possible, ideally 1st December 2025
- Compensation : fix + bonus on objectives (according to your profile)
