General Overview

The Engagement Officer works with the Volunteer Leadership team to oversee the regional ’Canes Communities’ volunteer boards. Responsibilities include developing onboarding experiences for regional volunteers, guaranteeing regional boards are effective and aligned with university goals, hosting productive executive planning meetings with coordinated committee meetings throughout the fiscal year, ensuring there is a pipeline of qualified volunteer leaders, and bringing best-practices in succession planning and board governance to each community board.  

Essential Responsibilities:

Volunteer Management:

  • Manages the day-to-day operations of the university’s top 10 Canes Community Boards, which includes working with approximately 250 volunteers.
  • Ensures the executive committee positions and committees for each of the top ’Canes Community Boards are populated.
  • Advances the Office of Engagement’s objective to elevate emerging ’Canes Communities into top-performing markets annually, with the goal of adding additional growing markets to the top community list annually. This includes identifying and qualifying volunteers, appointing executive committee members and volunteers to serve within assigned committees, and onboarding all new volunteers. 
  • Canvases the University volunteer ecosystem and maintains a list of roles and opportunities for volunteer placement.
  • Develops volunteer best practices and resources that can be scaled across volunteer boards.
  • Conducts outreach to identity, qualify, and refer a minimum of 100 volunteers to regional and national boards annually.
  • Tracks volunteer terms and ensure volunteer data is accurate in the university’s CRM.
  • Oversee the nominations process for officer positions and committee placement for consistency and transparency.
  • Ensures volunteer-related board and committee meetings are well organized with agendas, PowerPoints and other materials. 
  • Liaises with assigned regional engagement officers to ensure there is relevant and strategic programming and engagement of volunteers.

Events Management:

  • Plans, develops, and implements events and programs to engage volunteer leaders from the President’s Council, Alumni Board, Young Alumni Leaders, Citizens Board, Canes Communities, and Affinity Groups during homecoming.
  • Plans and implements two virtual meetings with top ’Canes Community leaders in coordination with the regional engagement team for goal alignment, training, and troubleshooting.
  • Develops and is responsible for bi-annually implementing a virtual volunteer onboarding program for ’Canes Communities.
  • Serves as a liaison to the community to ensure communication and support of relevant programming and engagement opportunities are routed through the regional engagement team.

Engagement:

  • Administers and maintains regular engagement with volunteer leaders through personal and virtual visits, telephone calls and emails.
  • Secures local volunteer leaders to support on-campus student engagement activities.
  • Identifies and recruits volunteers to provide support across other volunteer boards including the Young Alumni Leadership Council, UM Alumni Association Board of Directors, ’Canes Communities, and affinity leadership boards, school-based volunteers, etc.

Fundraising:

  • Qualifies alumni through the volunteer engagement process for leadership and major gifts.
  • Refers qualified prospects to regional engagement officers.

Communication

  • Updates website to maintain accurate records for each top ’Canes Community board.
  • Creates emails, invitations, and newsletters in Sales Force to share with volunteers.
  • Administers 40 WhatsApp Canes Community chat groups for Canes Communities. 
  • Prepares PowerPoints for onboarding meetings and other volunteer leadership events.

Qualifications

Bachelor’s degree with an emphasis in project management, Marketing and/or Communication preferred. A minimum of three (3) years of effective and relevant work experience in communication, marketing and social media strategy. Excellent social and customer service skills, and initiative mixed with sound judgment; good verbal and written communication skills are required, as well as the ability to interact with all university constituents. Ability to manage projects from start to finish, managing time and tasks effectively. Ability to manage a heavy workload and at times conflicting priorities as well as tracking progress on a wide range of initiatives. Must exhibit a willingness to provide outstanding customer service, and an outgoing receptive personality. Should be comfortable working independently; follow directions, accept constructive criticism, and seek advice from supervisor. Must have an excellent command of all Microsoft Office Applications, including Word, Excel, and PowerPoint. Database, CRM, or Salesforce experience a plus. A flexible schedule due to the high time demands of the position is expected
