EMEA Finance Operations Specialist
Internally, this position is referred to as Client Finance Analyst

JOB PURPOSE
We’re looking for an EMEA Finance Operations Specialist to support our DACH team. This person will be the go-to expert for all things finance and operations, bringing structure, streamlining processes, and elevating our operational efficiency.
The ideal candidate is a proactive problem-solver who can manage a wide variety of responsibilities, from providing critical insights into client accounts to ensuring our internal operations run smoothly. You’ll partner with stakeholders across the business, enabling management with insights to make sound decisions and helping teams operate at their best.
KEY RESPONSIBILITIES
Client Financial Management
- On request, create, implement and manage client-specific reporting needs and insights.
- Oversee all financial aspects of our clients.
- Analyze monthly, quarterly, and annual revenue on a client basis versus forecasts and demands to determine profitability and provide commentary.
- Setting up projects and associated orderliness in our internal system.
- Maintaining an organized and systematic database of hours for billing.
- Navigating employees to book hours on accurate project IDs.
- Onboarding new employees related to the entry of billable and non-billable hours.
Internal Financial & Operational Reporting
- Assist in forecasting and monthly reporting.
- Assist and support in financial audits together with financial control.
- Track actual pacing compared to forecast and budget and advice.
- Support in the management and optimization of the process of operational excellence reporting, such as utilization and billability.
- Manage and track time entries, enforcing processes and checking on the “hygiene” of our internal admin systems.
Together with FP&A, work on the month closing and ensure financial administration runs smooth and within timelines including:
- Invoicing internal & sales hours.
- Invoicing of all intercompany expenses (travel, events, salaries...).
- Maintain accuracy of cross charge agreement administration.
- Keep track on new and leaving employees and provide FP&A with up to date information.
Operational Excellence & Process Improvement
- Supplement global and regional policies with appropriate local policies and process improvements.
- Propose and implement process improvement initiatives with medium oversight from Finance leadership.
Cross-Functional Collaboration
- Collaborate with cross-functional teams to ensure smooth execution of day-to-day operations and efficient communication.
- Act as a central resource for data requests and internal operations across DEPT®, helping teams find the right contacts and information.
WHAT WE ARE LOOKING FOR
- Around 5 years of experience in operational roles such as Finance Operations, Client Finance, Account Executive, Project Manager, or PMO, preferably within a marketing or international environment;
- Strong operational skills with the ability to work independently, proactively identify process improvements, and optimize existing workflows;
- Excellent communication and stakeholder management skills, able to build relationships and coordinate effectively with multiple internal teams across EMEA;
- Comfortable working with data and numbers, with solid Excel / Google Sheet skills and the ability to deliver clear insights;
- A keen eye for detail, high level of responsibility, and a proactive mindset;
- Fluent in English, both written and spoken;
- A strong interest in the practical applications of AI in a business context, with a proactive approach to embedding new technologies in your daily work;
- Experience using generative AI or other smart tools in a professional or personal capacity to increase productivity and solve problems is a plus.
