Position Summary

Under the direction of the Manager of Legislative and Legal Services/Deputy Clerk, this contract position acts as a liaison for the public, staff and candidates for the Municipal Election. This position assists in the coordination of various activities related to the effective implementation of the Municipal Election.

Major Job Responsibilities

Provides direct support and assistance to the Deputy Clerk and Election Team with the coordination of various activities related to the effective implementation of the Municipal Election and related processes, which includes:

  • Acts as a liaison between the Town and the public, staff and candidates for the Municipal Election.
  • Updates and prepares election materials including Voters Lists, information pamphlets, election handbooks, voters’ cards etc.
  • Assists with the development of voting and vote counting procedures.
  • Assists with the development of Municipal Election communication strategies, which includes preparation of information packages for candidates and notices for publication required by the Municipal Elections Act.
  • Participates in project coordination and team meetings as required to meet operational needs.
  • Reviews and assists with updating Election Website and social media.
  • Coordinates the establishment of voting places.
  • Coordinates the people, materials and equipment required to effectively implement the Municipal Election.
  • Coordinates the purchasing and recording of necessary supplies.
  • Supports the processes for recruiting, training and organizing of Municipal Election workers and/or volunteers.
  • Acts as a Deputy Returning Officer and assists in the Election Day and advance voting processes, including voting and vote counting procedures, as needed.
  • Assists with the coordination with external services that provide election equipment and technology.
  • Performs other election related duties as assigned.

Education & Experience

  • Post-secondary diploma or degree, preferably in public administration or government relations programs

  • Minimum two (2) years’ experience in a municipal environment

  • Experience interpreting provincial legislation and regulations

  • Knowledge of municipal legislation, municipal elections and experience related to municipal elections is an asset

  • Professional accreditation through AMCTO

  • Able to prioritize work and work under pressure to meet deadlines

  • Available to work flexible shifts or overtime as required

  • Able to work in a highly confidential environment and maintain a high level of integrity

  • Strong communication and customer service skills with ability to communicate and deal with all levels of staff, public, other government agencies and candidates in a professional and courteous manner

  • Familiar with municipal policies and procedures, including those related to elections

  • Effective organization and time management skills

  • Able to work independently and within a team in a fast-paced environment

  • Strong problem solving and dispute resolution skills

  • Proficient in Windows based software including Word, Outlook and Excel

  • Ability to travel between different work locations. Access to transportation to travel between work locations in a timely manner is required.
