Position Summary:

Florida Atlantic University is seeking a Budget Manager for the Department of Psychology in Boca Raton, FL.

 

The Budget Manager will support the comprehensive financial and administrative management of all departmental state funding, grants, endowments, and foundation accounts, overseeing budgeting, expenditures, payroll, and HR processes in Workday to ensure fiscal integrity, compliance, and operational efficiency. The position also supports faculty and principal investigators through all stages of grant development and post-award management, providing detailed financial analyses, reporting, and strategic guidance to advance departmental objectives.

Summary of Responsibilities include:

  • Responsible for financial management of all department state funding, grants, endowments, and foundation accounts.  Review all expenditures to ensure adequate funds and appropriate use of funds.  Maintain audit trail for all expenses.  Maintain electronic database for expenditures.  Review and approve p-card expense reports, spend authorizations, purchase requisitions in Workday. 

  • Serve as Human Resource Partner in Workday.  Prepare and manage personnel contracts for faculty, staff, and students in Workday.  Create position and job requisition, request compensation, and hire for employees and students.  Work with Human Resources to complete hiring.

  • Manage graduate student appointments for Boca Raton, Davie, and Jupiter campuses. Prepare and submit graduate student tuition waivers each semester.

  • Review biweekly payroll reports to ensure that employees are paid correctly. Work with Payroll Department to resolve payroll discrepancies.

  • Present budgets to department chair as requested.  Provide chair with yearly analyses and trend reports of GTA and adjunct appointments, by campus.

  • Perform budget management daily tasks of monitoring department performance against spending patterns and implement measures to adhere to the department annual budget.  Reconcile department accounts monthly and report financial activity to principal investigators.

  • Work closely with Chair, Faculty, and Division of Research in preparation of grant submissions including management reporting.

  • Assist faculty in preparing and submitting proposals for federal, state and private grant applications. Prepare grant budget, budget justifications, and all required forms and attachments for proposal submission in the appropriate system. Submit proposal documents in Novelution and external grant submission systems for review by Sponsored Programs. Track completion of all documents required for grant submission.

  • Manage post-award grant activities. Communicate regularly with principal investigators. Create Workday personnel payroll and expenditure transactions required for research projects. Analyze financial reports. Review and reconcile project expenditures. Certify time and effort. Prepare adjustments and corrections to award budgets. Process cost transfers and payroll adjustments as necessary.

  • Provide principal investigators regularly with financial reports and detail of expenditures.

  • Collaborate with controller's office, foundation, research accounting, and purchasing regarding payments and purchasing of supplies needed to operate department.

  • Work with Dean’s Office, Charles E. Schmidt College of Science and academic administrators.

Minimum Qualifications:

Master's degree from an accredited institution in an appropriate area of specialization; or a bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.

Preferred Qualifications/Skills:

Excellent verbal and written communication skills.

Excellent customer service, organizational, and time management skills.

Capable of setting work priorities and managing multiple projects simultaneously in a fast-paced, hands-on environment while meeting deadlines.

Strong analytical skills and proficiency in Microsoft Office programs, especially Excel.

Workday experience.

Knowledge of current federal, state, and university administrative policies as they relate to fiscal, personnel, and grants administration.

Salary:

$60,000 - $70,000 per year.
