Position Summary:

The Dental Insurance and Financial Coordinator plays a critical role in the financial health of a dental practice by managing patient insurance claims, verifying benefits, and ensuring timely reimbursement from insurance providers. This position requires a blend of administrative skills, attention to detail, and strong communication abilities to provide excellent service to patients while maximizing insurance utilization.
  • Verify patients’ dental insurance coverage prior to appointments.
  • Enter and update insurance information in the practice management system.
  • Explain insurance benefits, co-pays, deductibles, and coverage to patients. Ensures all applicable waivers are obtained prior to treatment.
  • Engage patient with Patient Services if patient does not have insurance. Assist patient filling out Sliding Fee Scale when necessary in collaboration with the Billing Department.
  • Inform patients of their estimated financial responsibility before procedures. Ensure patients understand their financial responsibility by reviewing/reconciling accounts and explaining/answering all financially based treatment inquiries.
  • Responsible for ensuring that scheduled and planned treatment meets insurance eligibility, benefits, limitations and coverage guidelines and that all applicable waivers are obtained prior to treatment.
  • Ensure patients accept, sign, and fully understand their financial responsibilities to pay their co-pays, deductibles, and balances due at time of service.
  • Answer patient questions related to insurance, claims, and billing.
  • Maintain accurate patient insurance records and documentation.
  • Ensure compliance with HIPAA and insurance regulations.
  • Stay current with changes in insurance policies and coding updates.
  • Work closely with front office staff, hygienists, and dentists to coordinate patient care.
  • Support front desk duties such as scheduling and phone handling when needed.
  • Assist with referrals.
  • Engage and collaborate with Patient Accounts.
  • Assist with Sliding Fee scale.

EDUCATION:

  • High School Diploma or G.E.D.

EXPERIENCE:

  • 5+ years of experience in a dental office or similar setting (preferred).
  • Knowledge of Medicare, MassHealth, and commercial insurance pre-claims requirements, regulations, and guidelines (preferred).
  • Strong knowledge of dental insurance plans, procedures, and CDT codes.

SKILLS/ABILITIES:

  • Bilingual skills preferred (english/spanish)
  • Computer skills required
  • Working knowledge of insurance verification processes
  • Demonstrated ability to work cooperatively in a patient/customer centered, fast paced environment.
