A Brief Summary of This Position
The Customer Service Representative analyzes customer requirements and organizes the Company's efforts to meet them in ways that maximize both customer satisfaction and profit. The basic function includes responsibility for order tracking from point of manufacturing release to delivery, delivery notification and information, and daily communication with external customers, as well as Valmont representatives up and down the organization, including manufacturing, production control, galvanizing, shipping, and traffic.
Essential Functions
- This position is reported to the Materials Manager and has no direct or indirect reports.
- No travel is required for this position.
- The Customer Service Representative is the focus of the Company's internal and external communications regarding orders in process. The incumbent is responsible for analyzing and reporting customers' requirements and communicating with customers about how and when the Company can meet them. The incumbent must maintain an overall view of the Company, its manufacturers’ representatives, and its customers to communicate accurately and on time.
- Major goals include orders shipped completely on time and without manufacturing errors at a price that generates profit for the Company. The incumbent must be able to balance customer satisfaction with profitability and operating constraints, such as plant capacity and current backlog.
- In addition to the human relation skills already outlined, the incumbent must be able to manage multiple priorities while maintaining a cooperative and objective attitude. He/she must also work well with deadlines since the customer's major perception of the Company is influenced by the incumbent's response time. The position requires skill in working with large volumes of numbers and accurately reporting data. Attention to detail in this area is critical, as is a working knowledge of personal computers and current software in the database and spreadsheet areas.
- The incumbent requires the ability to communicate professionally and tactfully with customers and Valmont personnel at all levels of the business. Communication skills, both oral and written, are extremely important. He/she must meet the challenge of understanding each person's unique perspective to negotiate for the company from a position of strength and respectful leadership.
- The incumbent should possess the ability to make decisions that will produce the most positive results for both customer and company. He/she must also be able to adapt to a fast-paced environment and rapidly respond to different situations to maintain the level of productivity the position requires.
- Communicate clearly regularly with Valmont representatives and customers concerning the Company's progress on their projects. This function is designed to maintain customer confidence by taking a proactive approach in customer order handling and tracking to eliminate surprises.
- Expedite direct shipments from outside vendors to coincide with the Company's customer commitments.
- Follow the customer communication timeline to guide general customer contact for information regarding inspection dates, delivery dates, receiving yard status, receiving logistics, and estimated number of loads, heaviest piece, and other order-related information.

Required Qualifications for Every Candidate (Education, Experience, Knowledge, Skills, and Abilities)
- High School diploma and 5+ years of work/educational experience, or an associate’s degree with 2+ years of relevant experience, or a bachelor’s degree
- Ability to write reports, business correspondence, and procedure manuals
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public
- Strong knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Internet Explorer
- Excellent customer service skills
- Detail-oriented organizational skills
- Ability to maintain customer needs with oversight of customer history
- Passionate and integrity-driven individual who has the drive to excel and deliver exceptional results
Highly Qualified Candidates Will Also Possess These Qualifications
- Bachelor's Degree in related fields
- Proficient in IFS knowledge/usage
- Ability to read and understand print
- Lean training or knowledge of basic lean concepts used in problem solving
- Bilingual skills - English and Spanish
Working Environment and Physical Efforts
Work is typically performed in an office setting. The incumbent is regularly required to sit for extended periods of time, as well as talk and listen on the phone and in personal conversations or meetings. The environment is fast-paced and demanding most of the time. No travel requirements for this position. The employee frequently is required to use hands to finger, handle, or feel, and reach with hands and arms while working in the office with various files and forms, and while working on the computer. The employee is occasionally required to move about to the office. Incumbent must utilize proper ergonomic safeguards such as monitor height and positions, keyboard location and height, and proper wrist rests. The employee must occasionally lift and/or move up to 25 pounds while working with large files, binders, and computer equipment. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
