The Customer Billing and Order Booking administrator will manage the process of order booking and invoicing, ensuring accurate and timely billing for elevator installations, maintenance services, and repairs. This role will be critical in supporting the finance team by ensuring all customer orders are booked accurately and customer accounts are managed effectively. The ideal candidate will possess strong attention to detail, excellent customer service skills, and the ability to manage multiple tasks efficiently.
Customer Billing:
Prepare and issue invoices for maintenance contracts, installations / Modernizations, and repairs.
Ensure invoices align with contracts, quotes, and any additional work performed.
Resolve billing discrepancies by liaising with internal teams and customers, ensuring swift and satisfactory resolutions.
Accounts Receivable:
Monitor customer accounts to ensure timely payments and follow up on overdue invoices.
Maintain accurate records of billing transactions and payment history.
Customer Communication:
Respond to customer inquiries regarding billing and orders, providing clear and concise information.
Handle customer escalations related to billing issues, ensuring a high level of customer satisfaction.
Process Improvement:
Identify areas for process improvement in order booking and billing operations, recommending and implementing changes to increase efficiency and accuracy.
Compliance and Documentation:
Ensure all order booking and billing processes comply with company policies and industry regulations.
Maintain organized and up-to-date records of all customer orders, invoices, and payments.
Proven experience in billing, accounts receivable, or order management, ideally within the construction, manufacturing, or elevator industry.
A very good work proficiency in German and English. French is a plus.
Strong proficiency in accounting or ERP systems, and advanced knowledge of Microsoft Excel.
Excellent attention to detail, organizational skills, and ability to manage multiple tasks effectively.
Strong communication and customer service skills, with the ability to work cross-functionally.
Problem-solving skills to handle disputes or discrepancies with orders or billing.
