As a Coordinator in the Surgery Special Unit, you will oversee all activities necessary for the seamless scheduling and completion of both scheduled and unscheduled pediatric and/or adult surgeries and procedures, with a primary focus on complex chemotherapy cases at our Main Campus. Working closely with physicians, clinical staff, and lobby schedulers, you will prioritize admissions and appointments based on medical urgency to ensure optimal use of available resources. In this role, you will collaborate with disease-specific scheduling teams, support call center operations for Hematology/Oncology patients, and step in as needed to maintain coverage and continuity of care. This is a 100% on-site position requiring strong organizational skills, clinical coordination expertise, and the ability to thrive in a fast-paced, patient-focused environment.
A caregiver in this role will work Monday through Friday from 8:00am to 5:00pm. No weekend or holiday requirements.
A caregiver who excels in this role will:
Assume responsibility for all activities related to the successful completion of all scheduled and unscheduled pediatric and/or adult surgery and/or procedure patient admissions/appointments.
Ensure an accurate system-wide master patient index through validation and capture of patient demographic data.
Validate patient physician information and ensure accurate collection as well as validate and capture primary, secondary and tertiary insurance coverage to ensure accurate billing.
Identify patients in need of financial counseling and identify services out of insurance plan or requiring referrals.
Triage appointments based on diagnosis, patient preferences and physician specialty.
Coordinate services and provide special instructions as requested by patient, internal physicians and referring physicians.
Perform scheduling both intra- and inter-departmentally as requested by physician orders.
Receive orders and processes as indicated by provider and schedule according to protocol.
Maximize the department’s allocated spaces by scheduling all procedures/surgeries.
Enter appointments into respective programs.
Ensure accuracy of all data including appropriate CPT coding and case information.
Enter all updates, corrections and changes to scheduled procedures/surgeries.
Maintain provider schedules for designated units and coordinate multiple physician schedules.
Serve as the liaison with the admitting office regarding hospital reservations, admission updates and reservation cancellations.
Notify patients of their arrival times per area protocols.
Act as a resource to all department personnel.
Communicate with all departments to maximize efficiency and expedite the admission process.
Maintain designated spaces/units and patient management calendars/ledgers while also maintaining department data based on area needs.
Communicate with patients and their families to provide detailed instructions, directions and resources.
Minimum qualifications for the ideal future caregiver include:
High school diploma or GED
Two years related experience in an area that provides broad knowledge of medical terminology that includes patient registration, patient billing, insurance processing or appointment/OR scheduling. Or three years of customer service concierge experience.
Proficiency in use of personal computer (PC) and general knowledge of PC based systems and software.
Working knowledge of computerized appointment/OR scheduling systems, patient billing, insurance processing or other related office functions to coordinate patient access.
In-depth knowledge of medical terminology and/or CPT/ICD coding preferred.
Knowledge of Microsoft Word and Excel applications.
