About The Role

As a JLL Contract Support, you will provide exceptional customer service and administrative support to a large Account as part of the management team supporting daily operations.

What You'll Do

·Act as a primary administrative point of contact for the client and internal teams, providing comprehensive support for all contract needs and responding to enquiries to ensure timely, high-quality service delivery.

·Manage the end-to-end work order process through the CAFM system, from raising and dispatching jobs to tracking them through to completion.

·Coordinate the scheduling of all planned preventative maintenance (PPM) and reactive works, arranging visits from engineering resources and external vendors to ensure compliance with the contract schedule.

·Manage the complete financial cycle for the contract, including raising purchase orders, processing supplier invoices, managing Work in Progress (WIP), and supporting with debt collection.

·Support the contract manager with financial tracking, including assisting with budget monitoring and ensuring consistent delivery of all financial outputs for the account.

·Oversee all contract-related administration, including onboarding vendors, managing engineering timesheets, and ensuring all operational documentation and service sheets are accurately maintained and filed.

·Ensure full compliance with all Health & Safety requirements by maintaining H&S documentation, managing site logbooks, producing regular safety reports, and promoting a safe work environment.

·Deliver monthly reporting support for Contract and Business Unit Reviews, including the preparation of performance dashboards, KPI analysis, and operational summaries.

·Assist with the management of the asset database, ensuring all equipment changes are accurately recorded in the CAFM system to maintain data integrity.

·Proactively identify and suggest improvements to existing processes and solutions to enhance team efficiency and service delivery.

 

What You'll Need

Diploma or GED with 3-4 years of job-related experience in an FM/building service environment.

A comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function is required.

Ability to evaluate and communicate unusual and/or complex content in a concise and logical way.

In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, Teams, etc.

Organizational skills with an advanced inquisitive mindset.

Advanced math skills. Ability to calculate advanced figures such as percentages, discounts, and markups.
