Job Description Summary

The Contract Quality and Systems Specialist would be primarily responsible for maintaining and updating contract management systems (CLM), ensuring data accuracy, and system functionality. The specialist will assist with projects, provide feedback for system improvements, and act as a Subject Matter Expert (SME) for SAP/CLM/Vistex.

Key responsibilities include assisting with user acceptance testing (UAT), analyzing contract data with the Data and Analytics team, and writing Standard Operating Procedures (SOPs) for Commercial Operations. The specialist will also liaise with auditors, monitor compliance, and providing training and support.

Additionally, the role involves maintaining contract templates and clause libraries, participating in projects, and supporting government compliance initiatives. The analyst will also support other Commercial Operations Projects related to contracting.

Job Description

Essential Responsibilities:

  • Support technology initiatives by assisting the team with evaluating and implementing approved projects that improve process efficiency for Contract Operations.
  • Update and maintain contract management systems (CLM) by ensuring contract and clause templates are current, data is accurate, and system functionality is intact.
  • Assist with Contract Tool Kit (Playbook) updates, including adding approved clauses, archiving outdated content, and circulating documentation for stakeholder review.
  • Collect feedback from the Contract Operations team on CLM/SAP system improvements and share findings to help enhance operational processes.
  • Provide system support for SAP, CLM, and Vistex tasks related to contract drafting, clause approvals, and template updates.
  • Participate in testing activities, including sanity checks and user acceptance testing (UAT) for system enhancements and bug fixes in SAP, Vistex, and SFDC.
  • Maintain SOPs and guide sheets for Commercial Operations:
    • Assist in drafting and updating SOPs related to contract authoring and CLM processes.
    • Help ensure SOPs for supporting functions are completed, use standard templates, and are stored in an SOP repository.
  • Support audit activities by coordinating responses and providing documentation as requested; help monitor compliance with contract processes and SOPs.
  • Provide training and assistance to team members on contract management systems and related processes.
  • Assist with contract quality and system initiatives, including:
    • Updating active contract templates and clause libraries in CLM.
    • Supporting the creation of a contract repository for Contract Managers.
    • Help to implement clause tags and functionality in CLM for easier searching.
    • Participating in price increase projects by gathering data, reviewing contract terms, and preparing customer notifications.
    • Assisting with documentation and standardization of contract processes in the US and Canada.
  • Contribute to other Commercial Operations projects and initiatives as needed.
  • Support other Commercial Operations initiatives as requested.

Qualifications/Requirements

  • Bachelor’s Degree and 5+ years of demonstrated experience in an administrative support and/or project management role or a High School Diploma / GED with 7+ years of relevant experience.
  • Knowledge of contracts administration procedures and practices
  • Experience using Project Management Software
  • Experience using SAP, Salesforce and Power BI
  • Knowledge of internal/external audits to include regulatory and SOX controls

Desired Characteristics

  • Experience in the HealthCare, Pharmaceutical, and/or Life Sciences industry
  • Prior experience participating in or leading projects
  • LEAN experience and/or certification
  • Experience using, developing, and/or implementing a Contract Lifecycle Management (CLM) system
  • Experience drafting standard and non-standard contract agreements
  • Strong financial and legal acumen with an understanding of contractual methodologies
  • Proven interpersonal skills including the ability to foster a collaborative culture to achieve results
  • Proven ability to organize, prioritize multiple tasks simultaneously and effectively manage competing priorities
  • Proven critical thinking skills; able to solve problems and make effective and timely decisions
  • Strong attention to detail
  • Demonstrated written and verbal communication skills, language proficiency in English
  • Proficient with Microsoft Office applications (Word, Outlook, PowerPoint, Excel, Visio)
  • Proficient with learning, utilizing, and teaching new technologies.

We will not sponsor individuals for employment visas, now or in the future, for this job opening. For U.S. based positions only, the pay range for this position is $74,800.00-$112,200.00 Annual. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, experience and location. In addition, this position may also be eligible to earn performance based incentive compensation, which may include cash bonus(es) and/or long term incentives (LTI).
