ROLE SUMMARY

Provide comprehensive administrative support to the Commercial Excellence and AI Lead and team, enabling the execution of strategic initiatives and data-driven decision-making across the cluster by working independently with minimal supervision.

This role is pivotal in shaping the cluster’s culture by fostering connectivity, embedding core values, and enhancing engagement, while proactively supporting commercial excellence and AI-driven transformation.

Collaborate closely with the lead and cross-functional teams to coordinate complex projects, multi-country meetings, business reviews, governance sessions, and launch excellence activities, ensuring seamless logistics and stakeholder alignment.

Diligent adherence to all relevant processes and policies must be maintained to ensure compliance.

Demonstrate strong organizational, coordination, and communication skills, acting as a key operational partner who drives efficiency, innovation, and continuous improvement within the cluster.

In this role you will: 

Advanced Coordination & Organizational Support

  • Proactively manage complex cross-functional calendars, ensuring alignment of key meetings (e.g., Commercial Excellence reviews, AI project updates, launch excellence sessions) with cluster priorities.

  • Organize and facilitate multi-country virtual and in-person events, including business reviews, governance meetings, and PoA sessions, ensuring seamless logistics and stakeholder engagement.

Data & Analytics Enablement

  • Support the collection, organization, and preliminary analysis of commercial and operational data for reporting and dashboard preparation.

  • Assist in preparing materials for performance discussions, leveraging analytics platforms and AI tools as directed by the Senior Director.

Project & Process Management

  • Track progress of cluster-wide initiatives, maintain project trackers and action item logs for commercial excellence and AI projects.

  • Coordinate documentation and follow-up for launch sequencing and resource optimization activities.

Technical & Digital Support

  • Maintain and update digital collaboration platforms (e.g., Teams, SharePoint), ensuring that data science, omnichannel, and marketing operations resources are accessible and well-organized.

  • Support the implementation and scaling of new digital tools and AI-driven processes, including onboarding and troubleshooting for team members.

Stakeholder Engagement & Communication

  • Prepare and distribute communications, presentations, and reports for cluster leadership, ensuring clarity and alignment with strategic objectives.

  • Liaise with internal and external stakeholders to facilitate information flow and resolve operational issues promptly.

Compliance & Continuous Improvement

  • Ensure adherence to compliance standards in all administrative processes, including financial transactions and data handling.

  • Identify and propose improvements to administrative workflows, supporting a culture of innovation and operational excellence.

BASIC QUALIFICATIONS

  • Demonstrated strong ability to carry out comprehensive administrative support to leaders, including proficiency in all office responsibilities

  • Proven ability to plan, organize, and prioritize workload independently to meet cyclical and ad-hoc deadlines

  • Experience managing conflicting priorities and supporting multiple stakeholders

  • Strong organizational and coordination skills, with experience supporting senior leaders in a matrix environment

  • Proficiency in digital collaboration tools (Teams, SharePoint, etc.), basic data analysis, and document management

  • Excellent written and verbal communication skills, with the ability to work effectively with all levels of management

  • Independent, proactive, and self-motivated with excellent attention to detail

  • Outstanding digital proficiency across all applications and platforms; high-level computer literacy and experience with a range of software packages

  • Experience with compliance processes, approval/sign-off systems, and operational platforms (e.g., ARIBA, travel systems, expenses)

  • Previous executive admin/assistant experience in a relevant role/function preferred

  • Experience working with procedures, policies, and ways of working in multiple markets

  • Comprehensive knowledge of Pfizer organizational structure and procedures is essential

  • Demonstrated positive “can do” attitude and agile mindset

  • Ability to manage confidential documents and information with excellent judgement

  • Support and contribute to innovation, simplicity, and continuous improvement
