The primary focus of the Project Management Office co-op position will be accountability for the maintenance, control, coordination, and administration of the project(s). This role will ensure Project methodology and PMO Governance standards are followed and will identify and escalate obvious gaps/conflicts to the program/Project managers as needed to ensure corrective action takes place. Scope: Provides oversight and control for the Projects to ensure alignment with minimum requirements - schedule, budget and compliance with PMO governance. The position will report to the Director, PMO Governance.
Key Responsibilities
Project Control related duties
- Collect data needed to support Project Manager/ Portfolio
- Work independently and in a team environment under the direction of the PMO Manager, Project Manager and relevant IT and business stakeholders as appropriate
- Ensure compliance with artefact completion and retention requirements, and QA artefacts before archiving them to HomeVault or Teams
- Participate in project meetings and responsible for taking and documenting meeting minutes (includes decisions and actions)
- Follow-up on team member delivery of status reports, and action items to ensure timely delivery
- Work with Project Managers to help update and maintain current and accurate project schedules and budgets
- Manage monthly reconciliation process for project budget verification and document reasons for variance(s)
- Identify and record issues and risks in the project RAID log, and escalate as appropriate
- Follow-up on invoices, review of costs, investigate missing charges, track status of requisitions / PO's / SOWs
- Support business in preparation for Business Cases; Ensure one-time and on-going costs are tracked for accurate evaluation of ROI
- Log, monitor and control Project Change Requests (PCRs)
Risk and Compliance
- Ensure compliance with HTC policies and procedures, project methodology, project governance gating process and policies
Administration
- Coordinate meetings, ensure that key stakeholders have responded, and distribute meeting agenda and/or materials to attendees at least 24 hours prior to the event
- Maintain and sustain Project dashboard information and Project Steering Committee status report
- Manage monthly PMO governance activities
Education Requirement:
- Enrolled and successfully completed 1st year of postsecondary education
Years of Experience:
- 1+ years of project support/coordination experience
Additional Qualifications, Certifications, Skills:
- MS Office Suite, medium to expert level in Excel
- Medium level skill in working with Power BI /any other dashboarding tools
- Exceptional written, verbal and interpersonal communication skills
- Desire to pursue a project management career path
- Demonstrated quick learner with affinity for technology
- Proven analytical and problem-solving skills
- Strong customer service orientation
- Highly self-motivated and directed
- Team-oriented and skilled in working within a collaborative environment
- Ability to effectively prioritize and execute tasks in a high-pressure environment
- Financial services knowledge is an asset
