Job Description:
Responsible for pre-closing and post-closing matters on each file. Makes sure tax certificates and surveys are in file, order payoffs, make sure any authorization documents are in file, verify legal names and description with commitment and survey, receipt in funds/wires for closing, send docs for funding, obtain funding authorization, notify agents and clients when the file has funded, disburse funds, prepare checks and send out wires, send package to Lender, mail out all checks printed from the file, follow up on any stale dated checks the Branch may have, verify dates and all notarization is in place and accurate before recording, record documents, verify file is in audit order. Responsible for 1099S updates and reporting
ESSENTIAL FUNCTIONS:
Escrow Assistant/Funder will order payoffs, HOA’s, tax certificates or other items as needed or requested by Escrow Officers.
Requests permission from lender for authorization to fund; receipts in monies; balances file; disburses funds; and initiates wire transfer for payoffs.
Verify tax certificates are complete and accurate.
Record all documents required in a transaction in appropriate counties if applicable.
Places file in audit order and scans entire file into File Scan. Each section of the file must be scanned into their related tab.
Obtains payoffs and any invoices that will appear on settlement statement.
Assists closer in preparing settlement statement.
Take all closed files and send out Lender Packages and Collateral Packages back to the appropriate party.
Initiate or approve wire transfers on files, request File2File Transfers and mail or overnight all checks issued on files.
Verifies legal description matches the description in commitment and on survey.
Requests permission from lender for authorization to fund; receipts in monies; balances file; disburses funds; and sends out payoffs.
File all documents to be recorded in appropriate counties and/or state.
Places file in audit order and prepares file for scanning.
Acceptance of supervision; Perform other duties as assigned by supervisor.
Ability to foster, develop and maintain professional and collaborative working relationships. Must be able to get along with others, i.e., peers, supervisors, outside customers, and vendors.
Ability to interact effectively and professionally with all levels of management, employees and customers by email, phone and in person.
Regular consistent attendance is required and could include after hour Company events.
Ability to work the regular scheduled hours Monday through Friday 8:00 a.m. to 5:00 p.m.
KNOWLEDGE/SKILLS/EXPERIENCE REQUIRED:
Minimum one year experience as an escrow assistant.
Excellent verbal, written and interpersonal communications skills required.
Must be able to work under pressure and remain calm regardless of deadlines.
Must be able to get along with others, e.g., peers, supervisors, external customers, vendors and internal customers.
Accurate typing and computer proficiency required.
Strong organizational skills, detail-oriented, with aptitude for performing mathematical and accounting functions.
Must have a professional demeanor and appearance.
