Position Summary

The Executive Assistant is responsible for modeling the Compassus values of Compassion, Integrity, Excellence, Teamwork, and Innovation and for promoting the Compassus philosophy, using the 6 Pillars of Success as the foundation. S/he is responsible for upholding the Code of Ethical Conduct and for promoting positive working relationships within the company, among all departments, and all external stakeholders. The Executive Assistant performs standard, advanced, and confidential duties requiring comprehensive experience, skill, and knowledge of organization policies and practices. S/he provides executive administrative support, including preparing correspondence, reports, coordinating board activities, and meeting planning. S/he may lead and provide functional guidance to lower-level administration support team members.


Position Specific Responsibilities

  • Assists in the planning and execution of in-person and virtual meetings, events, and conferences, including site selection, registration, catering needs, agendas, minutes, and contract negotiation.
  • Provides day-to-day administrative support, including but not limited to calendar management, processing expense reports, and booking travel arrangements for several executives based locally and in other office locations.
  • Prepares correspondence, memoranda, reports, etc.
  • Screens telephone calls and visitors and resolves routine and some complex inquiries.
  • Prepares and distributes minutes of meetings.
  • Provides advanced word processing support, creates complex spreadsheets, and develops high-quality reports and/or presentations (both internal and external).
  • Researches and follows up on incoming issues and concerns addressed to leadership, including those of a sensitive or confidential nature.
  • Utilizes the assistance of one or more lower-level Administrative Assistants on a project basis, as needed.
  • Serves as backup to other Executive Assistants and Administrative Assistants in the event the regular operator is absent.
  • Delivers superior professionalism while exercising sound judgment in a variety of situations where there may be ambiguity.
  • Performs other duties as assigned.


Education and/or Experience

  • Associate's degree preferred.
  • Five (5) or more years of related experience preferred. An equivalent combination of education and experience will be considered.


Skills

  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.
  • Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from leaders, colleagues, investors, and external parties. Strong written and verbal communications.
  • Other Skills and Abilities: Ability to understand, read, write, and speak English. Articulates and embraces hospice philosophy.


Physical Demands and Work Environment: The demands of this role necessitate a team member to effectively perform essential functions. Adaptations can be made to accommodate team members with disabilities. Regular standing, walking, and manual dexterity are fundamental, along with the ability to lift and move objects up to 25 pounds. Visual acuity requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.
