Executive Operations Administrator                                                                                         

The Executive Operations Administrator will provide comprehensive administrative support to our Operations Management department, ensuring smooth operations and efficient project management.

Duties and Responsibilities:                                                                                                        

  • Assist in the preparation and distribution of operations project documentation, including contracts, bids, proposals, and change orders.
  • Coordinate meetings, appointments, for executives and Division Managers.
  • Manage communication channels, including phone calls, emails, and correspondence, ensuring timely responses and effective communication flow.
  • Maintain accurate and up-to-date records of construction projects, schedules, and progress reports.
  • Liaise with subcontractors, suppliers, and vendors to gather necessary documentation and facilitate project logistics.
  • Prepare and process construction-related invoices, expense reports, and purchase orders for the Director of Operations.
  • Assist in the organization and coordination of site visits, inspections, and meetings.
  • Support document control processes, including file management, version control, and document distribution.
  • Assist in the coordination of project closeout activities, including documentation, warranties, and final inspections.
  • Provide general administrative support to the DOO, DM, RPM’s as needed, including filing, copying, and data entry tasks.
  • Assisting the Operations Team with Quickbook Time. Main Administrator of QBT.

Qualifications:                                                                                                                                  

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience in administrative roles, preferably in the construction industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Ability to work independently and collaboratively within a team.
  • Knowledge of construction terminology and processes is preferred.
  • Willingness to learn and adapt to new tasks and responsibilities as needed.
