The Clinical Infusion Coordinator must possess and consistently demonstrate a positive disposition, proficient verbal and written communication skills, strong customer service values, and professional behaviors. The Clinical Infusion Coordinator is responsible for completing tasks and coordinating processes related to new infusion patient referrals from multiple sources for non-oncology/non-hematology therapeutic infusion and osteoporosis patient populations of Tennessee Oncology as well as continued management of therapy.
ESSENTIAL FUNCTIONS:
- Acts as a clinical coordinator between MDs, APPs, DAC team, front office, and Operations Management regarding the scheduling of new patient appointments, initiation and follow through of insurance authorization review, and the review of the medication treatment plan in accordance with referring provider orders.
- Requests, collects, documents, and reviews all appropriate records to ensure patient has been scheduled properly and all necessary records have been obtained for evaluation in accordance with HIPAA regulations.
- Maintains and monitors clinical records of referred patients in multiple systems and utilizes these systems to communicate patient status on referral pathway to APP, DAC, and Operations Management leadership.
- Collaborates with all parties including patient, referring provider, and Tennessee Oncology staff to facilitate resolution of any identified clinical contraindications to treatment.
- Schedules new patient appointments by following scheduling parameters for each Tennessee Oncology clinic location and collaborating with other new patient team members to verify appropriate scheduling.
- Resolves scheduling conflicts with operations management and referring clinics, including re-scheduling of new patient missed appointments.
- Facilitates notification to referring providers with patient’s appointment time and provider name once scheduled.
- Provides education on clinical questions from referred patients, within scope of practice, and updates patients on any delays during referral process in a timely and professional manner.
- Abstracts pertinent clinical information from the medical records and assigns appropriate ICD-10-CM codes as it pertains to Clinical Condition Categories based on CMS HCC categories.
- Assesses medication administration records, lab results, provider notes, and nursing progress notes at completion of each infusion visit to monitor for critical lab results and/or infusion reactions to alert referring physician.
- Monitors and assesses post treatment symptom reports for referred patients and collaborates with triage team to alert referring physician of patient complaints and status post medication initiations.
- Maintains scheduled communication of infusion records to referring physician after each infusion visit.
- Reviews charts/MAR for upcoming treatments to evaluate accuracy of medication order set including drug name, dose, frequency, pre-medications, and lab work with referring physician orders.
- Maintains a self-managed task schedule for all duties and tasks to ensure timely follow up and scheduling of referred patients.
- Resolves clinical tasks for referred patient population from clinic staff by communicating directly with the patient and the referring physician office.
- Maintains knowledge on non-hematology/non-oncology therapeutic infusion medications including indications, contraindications, and diagnostic screening requirements.
- Collects and reports data regarding new patient infusion referral process by assigned Territory.
- Cross-trains and acts as secondary resource for all new patient intake team positions, as well as Clinical Liaisons.
- Maintains all licensure(s) and continuing education as required by government regulations and in accordance with Tennessee Oncology policy.
- Maintains and ensures confidentiality of patient information.
- Other duties as assigned.
KNOWLEDGE, SKILLS & ABILITIES:
- Ability to learn and work within Microsoft Office, Monday.com, XMedius Fax, Noona, Clarus, and G4 as well as other required software tools and applications.
- Ability to learn and work with enterprise VoIP phone system.
- Ability to learn and work within enterprise EMR
- Exhibits high degree of initiative, clinical judgment, and discretion.

- Willing and able to travel to Tennessee Oncology locations as needed
EDUCATION & EXPERIENCE:
- Valid State of Tennessee or appropriate compact state nursing license required
- Minimum one (1) year RN or (2) years LPN experience required.
- Two (2) or more years RN or LPN outpatient clinic experience preferred.
- Oncology experience preferred.
- Telephone triage or other clinical interaction preferred.
