The Role
Macquarie University Health currently has an exciting opportunity for an experienced Clinic Coordinator to join our Clinical Trials Unit. As Clinic Coordinator, you will play a central role in ensuring the smooth, efficient, and patient-focused operation of the clinic, supporting clinicians, managing administrative processes, and coordinating patient care throughout the clinical trial process.
In this role, you will:
Manage the daily business and administrative operations of the clinic to ensure efficiency and patient-centred care.
Coordinate patient appointments, manage patient flow during clinic sessions, and respond to enquiries from patients and medical practitioners.
Ensure accurate data entry of patient information into the patient management system while maintaining confidentiality and privacy.
Organise patient surgical/hospital quotes and assist clinicians in managing inpatient hospital work.
Ensure patients are billed correctly and receive receipts in a timely manner.
Prepare regular reports on clinic performance and respond to ad hoc reporting requests.
Manage and resolve patient complaints and feedback in collaboration with the Senior Manager Clinics.
Liaise with other clinics, hospitals, and allied health professionals to ensure comprehensive patient coordination.

To be considered for this position, you will demonstrate the below requirements in your CV and a 1-2 page cover letter:
Previous experience working in a medical practice or clinical trials setting.
Excellent organisational and time management skills, with the ability to supervise staff and prioritise workloads.
Demonstrated experience using electronic practice management systems (e.g., Genie or Best Practice) and proficiency with Microsoft Office applications.
Knowledge of medical terminology and understanding of Australian health insurance schemes and patient billing arrangements.
Strong customer service, interpersonal, and conflict resolution skills, maintaining confidentiality and professionalism at all times.
Demonstrated ability to take initiative, problem-solve, and implement continuous improvement strategies.
Experience working collaboratively in a multidisciplinary team to achieve shared goals.
