Summary:
The Circulation Manager provides coverage and supervision of the circulation desk for all hours that the Pence Law Library is open. Must be willing to work evenings and weekends and able to attend occasional, unscheduled hours. The hours associated with this position may vary during summer sessions, university breaks, and holidays. This position manages the operation of the circulation department in conjunction with the other circulation manager(s) and the access services librarian. This position will be trained to use all appropriate features of the Library’s Integrated Library System, ALMA.
Essential Functions:
1.) Staffing the Circulation Desk
Performing circulation desk duties.
Providing basic directional and information assistance.
Finding and retrieving materials for library staff and patrons.
Ensuring excellent customer service to library patrons, visitors and guests.
Providing direct training and supervision for part-time non-student staff.
2.) Circulating Library Materials and Helping Patrons Access and Navigate Library Collections and Resources
Identifying, processing, weeding and circulating the course reserve collection.
Promoting library materials and services.
Assisting with accessing materials in all of the library collections, including the library’s special and archival collections.
Maintaining special collections and displays.
Ensuring that library space is properly configured and the physical collection is arranged to allow for an optimum learning environment.
Creating and maintaining finding aids and guides with relevant library, circulation and interlibrary loan information.
3.) Supporting Resource Sharing through ILL and the WRLC Consortium Service
Preparing and processing loan requests and ensuring materials successfully transit through the ILL and WRLC consortium systems.
Processing interlibrary loan material through the integrated library system and interlibrary loan system
Pulling and processing requested materials and scanning to fulfill digitization requests
4.) Maintaining and Improving the Condition of the Library Collection and its Accuracy in the Catalog and Other Finding Aids
Shelving of items to ensure the collection is orderly and available.
Identifying issues with inventory, item records, physical condition, spine labels and signage
Carrying out procedures to identify and reconcile lost, damaged and overdue materials.
Participating in collection shifting and relocation projects.
Engaging in other stacks maintenance duties including shifting, shelf-reading, inventory and other stacks maintenance duties.
Collaborating with the Access Services and Technical Services librarians on collection related workflow.
Creating and maintaining finding aids and lib guides with relevant library, circulation and interlibrary loan information.
5.) Working with the Director and the Access Services Librarian to Create, Modify and Enforce Library Policies and Procedures
Completing circulation related database maintenance correspondence with patrons.
Maintaining user, item and circulation records.
Creating/updating training, tutorials, guides, webpages and signage.
Maintaining department documentation, files and supplies.
Developing, planning, and executing projects in the department.
6.) Preparing and Providing Regular Reports on Circulation and Interlibrary Loan Transactions, Library Use, Seat Count, and Other Departmental Activities; Generates Statistical Reports as Necessary or Requested
7.) Performing Special Projects, Engaging in Meetings and Other Duties as Assigned
Supervisory Responsibility:
Each Circulation Manager supervises at least one part-time non-student staff member.

Position Type/Expected Hours of Work:
Full-Time.
35 hours per week.
Evening and weekend hours may be required.
Depending on the shift, the circulation manager may serve as the sole law library and law school staff member on-site. Evening and weekend hours are may be required for this position.
This position enables the library to maintain a full-time staff presence at the circulation desk during the extended hours the library is open. This position requires flexibility in scheduling and working, a dedicated service ethic, and a positive attitude, regardless of circumstance. The hours associated with this position may vary during summer sessions, university breaks, and holidays. This position is considered essential and must cover the circulation desk if open shifts occur or during emergencies.
Salary Range:
$22.00 - $27.00 per hour.
Required Education and Experience:
Bachelor's degree or equivalent.
2 - 4 years of relevant experience.
Advanced proficiency with basic computer applications such as word processing, spreadsheets, and searching online databases is required.
Attention to detail and strong communication skills are essential.
Incumbent must have the ability to multitask and handle challenging individuals and situations with tact and poise.
Must be able to lift 50 pounds.
Preferred Education and Experience:
Bachelor's degree.
4 - 6 years of relevant experience.
Two years of library experience is preferred.
Experience with library automated systems is preferred. Experience with the Ex Libris-ALMA Integrated Library System is a bonus.
One year of supervisory experience is preferred, ideally in a library environment.
Training in basic legal research, a paralegal certificate, or equivalent experience is a plus.
Experience with Microsoft Outlook, SharePoint, Office 365 and other Office products is preferred.
