Business Support Coordinator

The Role

The Business Support Coordinator will be responsible for managing and supporting business-related tasks across the Middle East, including UAE, Saudi Arabia, and Qatar. One of the primary responsibilities includes compliance with legal corporate requirements in multiple geographies and jurisdictions.

The Business Support Coordinator will be part of the Middle East Operations team reporting into the Regional Finance Controller.  The incumbent will be required to work closely with other functional leaders including People Partner, Legal Counsel, and senior stakeholders across the region.

Key Responsibilities

Entity Management

  • Responsible for maintaining all company licenses for all entities across KSA and UAE. This includes handling license renewals, CoC renewal, and coordinating with Legal department on license renewal and updates.
  • Maintain tracker of all company license, portals, and folders to ensure we remain in full compliance with legal corporate requirements.

Visa Processing & Portal Management

  • Responsible for managing the DIFC portal for all entities.
  • Process visas for staff and dependents (new, renewal, cancellations).
  • Process all portal transactions including parking access, office access cards etc…
  • Coordinate with third-party PRO provider to process KSA iqamas for new joiners and employees.
  • Communicate important DIFC updates to key stakeholders.

Health Insurance

  • Liaise with broker on staff health insurance queries or issues.
  • Act as main point of contact for staff.
  • Responsible for completing the necessary forms (KYC) and completing the employee census ahead of the renewal period for KSA and UAE.
  • Support People Partner with necessary tasks related to the renewal.

Document & Folder Management

  • Responsible for organizing and maintaining all folders and documents on the Shared Drive related to legal documents, licenses, and company portals.

Compliance

  • Liaise with in-house and external legal counsel to ensure that the Articles of Association, Memorandum of Association and Bylaws are kept fully updated and in compliance with the local regulations.
  • Ensure that all Powers of Attorney are reviewed at regular intervals and revoked when required to ensure the company is protected against any risks.

Regional HQ Operationalization

  • Support Regional Finance Controller and People Partner with tasks related to operationalizing the Regional HQ entity.
  • Work closely with the third-party PRO provider to ensure Iqamas are issued in a timely manner, coordinating with the Operations team and employees.

Special Projects

  • Coordinate cross-functional initiatives and ensure timely execution of project deliverables.
  • Support leadership with research, analysis, and preparation of briefing materials for strategic projects.
  • Track progress of special assignments and prepare regular status reports for senior management.
  • Liaise with internal teams and external stakeholders to facilitate smooth project delivery.
  • Assist in planning and execution of events, workshops, and client engagements tied to key initiatives.
  • Maintain documentation, project trackers, and ensure compliance with company policies and deadlines.
  • Provide ad hoc administrative and operational support for high-priority projects as assigned by management.

Essential Skills / Experience

  • Has at least three years’ prior experience in business support or administrative role.
  • Proven experience in a similar role within a fast-paced, multicultural environment.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) at an advanced level.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Strong interpersonal and communication skills, with a professional demeanour.
  • Proactive, flexible, and solution-oriented mindset.
  • Self-starter with the ability to work autonomously and collaboratively within a team.

Preferred Skills/ Qualifications

  • Degree educated
  • Arabic language skills would be an advantage.
  • Strong administrative and project management skills
  • Previous experience within a Consulting or professional services company
  • Arabic proficiency highly preferred (written, verbal, reading)
  • Resourceful, collaborative with a professional demeanour
  • Collaborative team player, willing to undertake tasks that may fall outside of the core remit of this role
