Job Description Summary

We are looking for a Brokerage Coordinator to join our Toronto Downtown office. The successful candidate will be working within a team structure who’s responsible for supporting broader Brokerage Agent/s focused on the Capital Markets daily operation of the business line. This position reports directly to the Director of Operations supporting coordination and organization, deal documentation, liaison and various administrative duties.

Job Responsibilities:

Administration & Coordination

  • Ensure that education, credentials and licensing of staff is current
  • Assist in planning and coordinating complex travel arrangements for executive(s)
  • Schedule and organize complex calendar activities such as meetings, agendas, luncheon arrangements, travel plans and department activities; work around scheduling conflicts and takes on responsibility for keeping manager(s) on schedule 
  • Collect expense reimbursement documents, such as receipts, and other information
  • Attribute expenses to specific deals or other codes and track against deal budget
  • Enter expense reports into Workday
  • Organize and implement listing and team marketing strategies including management of team’s social media communication
  • Keep record and compile information for client activity reports and update ongoing transaction pipeline
  • Research and prepare market surveys
  • Compile property information and market data for listing proposals and opinions of value including title searches, zoning/planning reports, MPAC, etc.
  • Coordinate and execute marketing programs for listings and design materials suitable for newspaper/magazine ads, direct mailers and e-mail distribution i.e. flyers, postcards, newsletter updates, etc.
  • Create listing proposals and pitches including print finishing (printing, binding, etc.)
  • Coordinate and manage agents’ deadlines, meetings, tasks and client interactions
  • Maintenance and administration of various databases (Engage); updating of owner, buyer, seller, property and prospect information as required
  • Proofreading and limited copy writing
  • Perform general clerical tasks, including but not limited to data entering (Engage), photocopying, filing, telephone calls, archiving, organizing couriers, mailings, etc.
  • Miscellaneous requests and special projects as required by the team
  • Provide any other administrative tasks required by C&W to facilitate the transaction of C&W real estate business

Client Interaction

  • Field phone and e-mail inquiries from prospects, clients and other brokers
  • Coordinate property tours and send packages
  • Coordinate client activity for specific accounts and transactions
  • Assist with all aspects of relationship management with clients and required reporting
  • Client database management

Financial

  • Organize and prepare transaction documents i.e. confidentiality agreements, offers, listing agreements and other TREB forms, closing documents, trade records, etc.
  • Prepare research reports and charts using various sources (MLS, SiteSolutions, Realnet, Geowarehouse, Landlord vacancies, etc.)
  • Abstract leases and prepare proposals with direction from team

Qualifications

  • Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail
  • Previous real estate experience in a commercial real estate organization (min 1 yr experience)
  • College or University degree strongly preferred
  • Computer proficiency in Adobe applications such as InDesign, Photoshop, Illustrator & Acrobat
  • Professional and Microsoft applications such as Word, Excel, PowerPoint, Outlook
  • Strong skill sets in electronic marketing (Twitter, LinkedIn)
  • Ability to deliver excellent customer service at all levels of the organization and with external partners
  • A strong command of grammar and writing skills for the purpose of proof reading and editing
  • Exhibit a high level of professionalism and excellent interpersonal skills
  • Strong relationship-building ability, proactive, results-oriented, and resourceful
  • Possess strong organizational, time management and project management skills with a demonstrated ability to work both independently and within a team environment
  • Appropriate work ethic/commitment level required





The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $ 59,500.00 - $70,000.00
