ESSENTIAL JOB FUNCTIONS
• Prepare purchase orders and quote sheets; enter control numbers and amounts into control ledgers; and post on computer for individual parks.
• Reconcile receiving tickets, invoice and purchase orders.
• Close out purchase orders.
• Maintain balances on control ledgers.
• Responsible for appropriation charges and maintaining bookkeeping records for all individual parks.
• Reconcile weekly all individual parks appropriation of their budgets and generate a report to be distributed.
• Prepare an open purchase order report to identify the status of all open purchase orders for the Park Division.
• Balance ARMS on a monthly basis.
• Correct printouts; adjust accounts; and set up new accounts.
• Maintain vendor files and other related files.
• Contact vendors for invoices, delivery tickets and prices as needed.
• Research for field employees and vendors on status of purchase orders and payment status on billings.
• Assist with payroll duties.
• Assist in the maintenance of files.
• May assist with balancing of income for deposit.
• Answer telephone and assists with shelter reservations.
• Perform other duties as assigned.
REQUIRED SKILLS, KNOWLEDGE AND ABILITIES
Skill in typing 40 to 45 WPM; in 10 key by touch; in personal computer; in other related Office machines; and in filing.
Knowledge of the principles and practices of bookkeeping; of personal computers and software such as Excel, Word and Internet; of established departmental procedures, policies and regulations; of laws, ordinances and regulations governing County financial matters; and of arithmetic.
Ability to organize and present bookkeeping information in prescribed form; to make mathematical calculations with speed and accuracy; to perceive clerical errors; to meet deadlines; to exercise initiative and independent judgment; to understand and follow oral and written instructions; and to deal tactfully with others.

EDUCATION and/or EXPERIENCE
Education equivalent to graduation from a standard four year high school, including or supplemented by a course in bookkeeping, and over three years full time paid employment in general bookkeeping or clerical work.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
