Summary:
Reporting to the Director of Athletics and Physical Education, the Athletics Operations Coordinator oversees and coordinates the day-to-day logistics and operations of the athletic program, ensuring that all facilities, events, and services run smoothly and efficiently.
Job Description:
Coordinates all aspects of the daily operations and workflow of Athletic; and ensure efficiency and excellence in the day-to-day operations of MSSD and KDES Athletic by overseeing Athletic-wide systems and by providing support to Director and Athletic staff in executing day-to-day job functions.
Coordinates the scheduling of athletic events, practices, competitions, officials, meals, transportation, and athletic facilities; and informs appropriate personnel of scheduling and implements contingency plans for inclement weather, including practice schedules, transportation, lodging, meals, and other logistics for athletic events.
Oversees logistics for revenue generating groups utilizing MSSD athletic facilities, ensuring efficient use of resources.
Under the guidance and leadership of the Athletic Director, develops and coordinates the budget for athletic operations, ensuring cost-effective use of resources; monitors and controls expenditures to stay within budget guidelines; holds the role of Time and Labor timekeeper for all Athletics staff; and works closely with Clerc Center Human Resources staff.
Coordinates inventory, ordering, storage, repair, and maintenance of athletic equipment, uniforms, supplies, and pool chemicals; and submits budget requests for necessary supplies, equipment, uniforms, and services.
Supervises the blue crew students assigned.
Utilizes financial management software (e.g., Workday and Transact) effectively and processes invoices, tracks payments, and generates reports using the software.
Arranges for maintenance and modification of athletic facilities; and ensures all spaces are well-maintained and conducive to events, including ordering and distribution of supplies and furniture.
Participates in regular staff meetings; arranges/attends athletic functions and league meetings; and implements and ensures personnel involved in managing interscholastic sports to attend clinics, workshops, and other training activities.
Coordinates the agenda and records the minutes for Athletics team meetings, serving as an advisor to the Director, and creates action items from each meeting for the leadership team.
Coordinates all live streaming events; works with the public relations department and the Athletic Director for internal and external information dissemination regarding athletic events and achievements; oversees the athletic records and documents; and oversees awards and recognition programs.
Assists with the Director in providing ongoing communication with the Clerc Center community and families.
Assists the Director in organizing fundraising events and providing support to the booster club.
Oversees training related to timekeeping, scorekeeping, and other logistics aspects of athletic events.
Collaborates with the Director and other key personnel for all tournaments hosted by MSSD.
Works with the Director to monitor and assess gender equity in resources, opportunities, and participation within the athletic program.
Maintains records for all students and distributes copies to the appropriate personnel; and manages electronic databases, including statistics, accurate records, and historical performance analyses of student-athletes.
Maintains communication with students, parents/guardians, and coaches; and ensures that the staff responds to concerns and issues, as appropriate.
Establishes and maintains a positive and supportive working relationship with co-workers and supervisors.
Serves as a mandatory reporter under Title IX; and commits to completing Title IX training and other compliance requirements on an annual basis.
Prioritizes safety in the workplace as a collective responsibility for the well-being of employees and fosters a culture of safety that is integral to our success, including strict adherence to safety procedures and protocols, as well as promptly reporting any safety hazards or incidents.

Required Qualifications
Bachelor's degree.
A minimum of three years of professional experience with athletic operations, event coordination, facility management, or a related field.
Ability to communicate in American Sign Language.
Preferred Qualifications
Master's degree.
Teaching and/or coaching experience.
Knowledge, Skills, and Abilities:
Strong initiative and problem-solving skills.
Strong organizational, interpersonal, and communication skills.
Strong knowledge of integration of academic and non-academic programs and activities.
Demonstrated ability to work with and across University departments, outside constituents and groups.
Other Important Information:
The successful candidate must possess and submit a current driver's license as part of the application package.
The incumbent must be able to work in evenings and weekends as needed.
