Job Summary
Responsibilities
Monitors the day-to-day operations of ISTP and addresses student concerns as they develop.
Organizes the annual course listing and catalog updates for ISTP.
Manages the quarterly registration and graduation processes for ISTP.
Coordinates with faculty instructors, Pritzker School of Medicine, and TAs for quarterly ISTP Journal Club.
Coordinates with Pritzker School of Medicine Medical Education Team to send the course evaluations at the end of each quarter.
Tracks student academic progress and publications using university systems and processes.
Certifies program requirements are met, including completing milestones such as: lab rotations and thesis lab selection, comprehensive exam and thesis proposal defense, dissertation defense, and completion of both graduate and MD programs.
Main student contact for external fellowship applications.
Maintains the website and social media for ISTP.
Supports effort on new, competing renewal, and annual progress reports for Medical Scientist Training Program (MSTP) training grant.
Maintains records of faculty trainer status in MSTP training grant.
Tracks outcomes and career trajectory of program alumni.
Assists Executive Director in developing alumni events in collaboration with the Medical and Biological Sciences Division Alumni Relations and Development office.
Works with the Executive Director of MSTP on student issues that require divisional intervention.
Manages special recurring events for ISTP, including the Annual Retreat, Grand Rounds, program seminar series, and large-scale symposia.
Assists Executive Director in coordinating effective and efficient transitions between medical and graduate phases.
Supports admissions processes as needed, including major events such as Admissions Days and Revisit Weekend.
Solves problems in areas such as academic and administrative policy, student admissions, curriculum research and development, and budget development.
Recommends process improvements for programs that relate to critical student-life improvement, including emergency management, accommodations for students with disabilities, and/or the administration of health care services and programs for students.
Performs other related work as needed.

Education:
Advanced degree in the life sciences or business administration strongly preferred.
Experience:
3 years of administrative experience in student affairs administration.
Federal grant management experience.
Familiarity with medical school application processes.
Technical Skills or Knowledge:
Mastery-level knowledge of Microsoft Office and Adobe Suite.
Familiarity with social media platforms and video production.
Familiarity with cloud-based data management systems, including Stellic, AIS, CIM, and AMP.
Familiarity with university financial systems, such as Oracle.
Preferred Competencies

Ability to effectively communicate with faculty, graduate students, and various administrative offices at all levels in the University.
