This is a/an 75 % full-time equivalency (FTE) job. This position will work 30 hours per week. This position is eligible for benefits associated with any full-time position. The salary grade and range listed in the posting is reflective of a 100% Full-time position. Full-time equivalency job offers may fall outside of the listed range due to the assigned percentage of effort.

 

POSITION SPECIFICS

Susan Hirt Hagen CORE is seeking an Administrative Assistant (support level) with excellent interpersonal, organizational, and technology skills. The Administrative Assistant supports the general administrative functions of Susan Hirt Hagen CORE; including greeting/referring/assisting visitors, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, reconciling budgetary expenditures, and providing general office support.

RESPONSIBILITIES

  • Plan, organize, support and coordinate the daily office activities and administrative processes for Susan Hirt Hagen CORE;

  • Assist with meeting preparation and agenda creation, taking minutes during meetings, assigning action steps for team members;

  • Assist with scheduling meetings and using shared calendars;

  • Submit catering requests for Susan Hirt Hagen CORE related events/meetings;

  • Initiate appropriate requests to reconcile SAP concur expenses and required office purchases

  • Manage Federal House facility requests through 25Live and CCURE;

  • Organize shared reports, documents, and records in Microsoft OneDrive;

  • Manage student volunteer database, including overseeing the clearance process;

  • Maintain Federal House building standards, including kitchen upkeep, maintenance requests, and overall building appearance;

  • When required, arrange travel plans for faculty and staff work trips

    PREFERRED QUALIFICATIONS

    • Strong organizational skills with the ability to manage multiple priorities.

    • Excellent written and verbal communication skills.

    • Ability to work independently and collaboratively with diverse groups of stakeholders.

    • Professional demeanor and commitment to high-quality customer service.

    • Prior administrative experience in higher education, healthcare, or a complex organizational environment preferred.

    • Proficiency with Microsoft Office Suite; experience with Teams/Zoom and calendar management systems strongly preferred.


     

     

    MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

    General Equivalency Diploma (GED) or High School (HS) No prior relevant work experience required; previous relevant work experience accepted in lieu of education. Required Certifications: None

    The Susan Hirt Hagen Center for Community Outreach, Research, and Evaluation (CORE) was established in 1998 at Penn State Behrend through the generosity of Susan H. Hagen. CORE is dedicated to promoting positive youth development in Erie County, Pennsylvania. CORE makes a concerted effort to create a culture of hope for youth in Erie County. To achieve this, we help facilitate positive relationships between youth, peers, and adults by partnering with schools and education sites each academic year.

    SALARY & BENEFITS

    The salary range for this position, including all possible grades, is $34,800.00 - $50,500.00.
