Job Details:

The College of Liberal Arts and Sciences is searching for an Administrative Support Assistant to support multiple academic units, including International and Global Studies on the Macon, Georgia campus.


 

Responsibilities:

The primary responsibility of this position is to support the operations and faculty needs of the following academic units: International and Global Studies (IGS), Women's and Gender Studies (WGS), Political Science, Sociology, Great Books (GBK), and Writing Skills. This position requires supporting a variety of faculty from multiple departments due to the interdisciplinary nature of several programs offered through the assigned departments. The position also requires student worker supervision and assistance with student-centered programs.

This is an 11-month position working 37.5 hours per week from August 1 to June 30 each year and is off during the month of July.

Duties include:

  • Assist chairs and program directors in maintaining budget reports and reconciling accounts through Workday and other platforms

  • Assist faculty with travel planning and participation in professional activities, including making reservations, arranging transportation, and completing travel reimbursement paperwork

  • Monitor and order departmental supplies

  • Support faculty by submitting syllabi to university digital archive, assist with book orders, and maintain record of course schedules

  • Book rooms, catering, and travel (as needed) for guest speakers, departmental events, and other functions

  • Coordinate with faculty and staff to prevent event conflicts assists with event publicity by circulating email and posters

  • Serve as the building steward and “public face” of Groover Hall and share the responsibility of building steward for the second floor of Ryals

  • Oversee all building equipment maintenance and repairs

  • Supervise, coordinate schedules, and complete employment and timekeeping for student employees

Qualifications:

High School Diploma/GED and one year of administrative support experience are required.

Knowledge/Skills/Abilities:

  • Ability to use Microsoft Office, especially MS Excel and Word

  • Strong oral and written communication skills required, as this position requires engagement with a variety of stakeholders inside and outside of the university.

  • Ability to multi-task and to prioritize tasks assigned by multiple faculty

  • Willingness to learn new software packages including Workday, student information systems, and others.

​Base salary is $15 an hour up to commensurate with experience.
