Summary/Function:
Perform specific administrative support duties as assigned by the Administrative Services Manager to contribute to efficient company operations.
Qualifications/Requirements:
• Proficient computer skills; familiar with various programs to include Microsoft Outlook, Excel, Word, and Teams 365
• Ability to operate a mail scale and postage machine, FedEx with Ship Manager, folding and wrapping machines, laminator, fax, various copiers and multi-line telephone
• Ability to lift 20 to 70 pounds and handle large roll-a-way recycle bins
• Ability to contend with considerable standing, walking, stooping and bending
• Excellent filing and organizational skills and attention to detail
• Ability to work in a fast-paced environment
• Follow policies and procedures; maintain client confidentiality
• Communicate in a clear and service oriented manner; use appropriate, professional language and grammar to effectively exchange ideas and information
• Ability to proactively work with both external and internal clients; relate with others in a professional manner in order to accomplish work responsibilities and objectives
• Ability to maintain regular, predictable attendance
Duties:
• Receive and sign for incoming mail packages from the U.S. Post Office, Fed Ex, and other various courier services; sort and process incoming mail items for interoffice distribution or routing to appropriate office locations; prepare packages for shipment in accordance with department standards; pick up and deliver mail within the Great Falls office complex; prepare mail pouches for the next day’s operation
• Prepare outgoing mail and packages based on the most cost effective method available to meet the shipper’s requirements; prepare labels or postage utilizing computer software or postage meter and scale
• Stock inventory and replenish copy paper throughout the Great Falls office complex; insure levels are adequate to comply with current and projected usage requirements
• Collect and process recyclable products from all departments within the Great Falls complex
• Pick up and deliver archived records from the storage warehouse; ensure the company’s and securities industry record retention policies are followed; coordinate with appropriate departments to ensure records are removed from storage and properly disposed of when destroy dates are reached; items must be neatly organized and easy to find; conduct inspections for signs of damage and deterioration of the records
• Assemble informational marketing packets; fold, stuff and prepare various mailings for different departments and programs within the company
• Respond to and process requests for supplies, business cards, note pads, stationery letterhead, forms, advertising materials and other informational packets as necessary; record and account for items on various databases for billing and reorder purposes
• Order, maintain and distribute various publications on a daily basis
• Ensure all outgoing mail and packages are picked up by the appropriate vendor before closing the mailroom; deliver items to the vendor location if necessary; turn off and cover department equipment at the end of each day
• Perform other duties as assigned
