About the Unit

The Cardiothoracic Intensive Care Unit is a high-acuity cardiac surgical unit focused on fostering continuous learning while developing high level critical thinking and technical skills. This position will cover the Administrative Secretary functions for both the CTICU and CVRU, which encompasses approximately 200 employees total.

Scope of work  

Responsible for daily review of unit assignment sheets to ensure for accuracy of staff hours worked. Responsible for approximately 200 employee time cards. Following orientation, must be competent in the daily review and editing of staff clockings in API and also familiar with policies including attendance & reliability, bereavement and MESTA policies, in order to track when employees exceed the allowable amounts.  

Strong emphasis on attention to detail. 

Proficient in Excel and Microsoft Forms as they are responsible for tracking hours and submitted bonus payouts to team members during voluntary bonus programs.

Utilizes the appropriate software application to maximize efficiency and effectiveness of office workload. 

Maintains schedule/daily calendar for Manager/staff members/rooms/equipment, as appropriate, making independent judgments based on identified criteria. Arranges for meetings and makes travel/conference arrangements as needed. Collects, compiles and prepares data for analysis and develops systems that facilitate tracking of data. Maintains accountability for completion of assigned projects. 

The majority of this work is done onsite. Greets and communicates in a manner consistent with caring and respect, and follows established policies for confidentiality. Answers telephone, takes messages, welcomes visitors and provides/relays information in a manner consistent with hospitality standards. Composes standard documents and independently formats, types and proofreads correspondence, memos, reports, charts, statistics, meeting minutes, newsletters, etc. 

Performs/coordinates basic office duties such as sorting/distributing mail, copying, filing, faxing, completing forms, and ordering/maintaining equipment/supplies. 

Qualifications  

  • Required: associate's degree or equivalent office administration or secretarial science 
  • Required: 2 years of relevant experience in administrative support, clerical, project management, public education, or program planning and implementation  
  • Preferred experience working with payroll systems such as API
