What You'll Do

The Administrative Coordinator works closely with internal stakeholders to facilitate and support senior leaders with the delivery of key events and meetings. Your responsibilities will include:

  • Administrative Support (Calendar Management, Travel Planning)
    • Support Sr. Dir / VP-level team members from the Commercial Impact organization in an administrative capacity on an as-needed basis
    • Make hotel room reservations for senior leaders attending conferences and events
    • Assist with coordinating travel logistics for senior leaders
    • Maintain Outlook calendars, including creating and prioritizing appointments and travel
    • Organize meetings, including multi-attendee scheduling
    • Interact with senior leaders and executives
    • Submit monthly expense reporting
    • Perform other duties as assigned by the Executive Operations team
  • Event/Meeting Coordination
    • Collaborate with Business Development and external partners or vendors to coordinate shipping inventory to conferences and events
    • Assist the Senior Director, Business Development in coordinating conference and event logistics (registering attendees to conferences, making dinner reservations, managing hotel reservations)
    • Support pre-event planning, including internal team communications, booking catering, and scheduling internal prep meetings
    • Provide general administrative support to the Commercial Impact organization to support internal and external events and meetings as needed

 

What You Bring and How You Qualify

First and foremost, you’re passionate and committed to reimagining pediatric health care and creating a world where every child with complex medical conditions gets the care and support they deserve. In this role you will need to be:

  • Professional, friendly 
  • Detail-oriented with experience accurately managing multiple tasks and communicating to team members at all levels within the organization
  • Administrative support experience supporting multiple leader’s calendars
  • Proficient in Microsoft365 applications (Outlook, Sharepoint, Excel)
  • Ability to maintain a high level of discretion in handling confidential information

When determining compensation, we analyze and carefully consider several factors including job-related knowledge, skills and experience. These considerations may cause your compensation to vary.
